Monday–Friday, 25 hours/week; anticipated hours 2:00 PM–7:00 PM

Location:

Assigned DREAM-Philly afterschool site

Compensation:

$21.88/hour, commensurate with experience

Position Summary

The Site Manager provides on-the-ground leadership for a single DREAM-Philly afterschool site, ensuring safe, consistent, and high-quality programming for youth Monday through Thursday and Village Mentoring programming on Friday. This role is responsible for the daily operational readiness of the site, direct supervision and support of on-site staff during programming, and serving as the primary point of contact for site-based logistics, family communication, and youth safety before, during, and after programming hours.

Schedule & Programming Structure
  • Work schedule: Monday–Friday, 25 hours/week, 2:00 PM–7:00 PM.
  • Monday–Thursday: standard DREAM-Philly afterschool programming, 3:30 PM–6:00 PM.
  • Friday: Village Mentoring programming, 3:30 PM–6:00 PM.
  • Pre-programming window (approx. 2:00–3:30 PM): site setup, materials preparation, staff huddle, arrival readiness, and communication with school-day staff/administration as needed.
  • Post-programming window (approx. 6:00–7:00 PM): youth dismissal/pickup coordination, site closing procedures, staff debrief, incident documentation, and next-day preparation.
Key Responsibilities
Site & Program Operations
  • Open and prepare the site each day, ensuring space, materials, snacks, and supplies are ready ahead of youth arrival.
  • Oversee daily implementation of afterschool programming (M–Th) and Village Mentoring programming (F) in alignment with DREAM curriculum and site schedule.
  • Ensure accurate daily attendance tracking for youth and staff.
  • Coordinate youth arrival, transition, and dismissal/pickup procedures, including communication with families and school partners as needed.
  • Close the site each day, including materials storage, space reset, and facility walk-through.
  • Maintain accurate program records, incident reports, and site documentation in required systems.
Staff Support & Supervision
  • Lead daily pre-programming staff huddle to align on schedule, group assignments, and any site-specific needs.
  • Provide real-time coaching and support to program staff during programming hours.
  • Lead daily post-programming debrief to review the day, address concerns, and plan for the next session.
  • Model and reinforce DREAM's behavior management approach and youth development practices.
  • Escalate staffing, behavioral, or safety concerns to the Senior Youth Services/Regional Director in a timely manner.
Safety & Compliance
  • Serve as the primary responsible adult on-site for youth safety, emergency response, and mandated reporting procedures.
  • Monitor environmental conditions (e.g., heat/air quality advisories) and adjust programming per DREAM protocol.
  • Ensure ratios, sign-in/sign-out procedures, and safety protocols are followed at all times.
  • Maintain up-to-date clearances/certifications as required by DREAM and funder/compliance standards.
Communication & Family Engagement
  • Serve as the first point of contact for families regarding daily site logistics and youth updates.
  • Communicate proactively with the Regional Director on site needs, staffing gaps, and program quality.
  • Support Village Mentoring communication needs specific to Friday programming.
Qualifications
  • Experience working with school-age youth in an afterschool, camp, mentoring, or similar out-of-school-time setting.
  • Prior supervisory, lead staff, or site coordination experience strongly preferred.
  • Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
  • Clear, proactive communicator with youth, staff, families, and school partners.
  • Ability to exercise sound judgment in safety and behavior management situations.
  • Ability to meet Pennsylvania clearance requirements (Act 33/34, FBI fingerprinting) and any additional DREAM/funder-required credentials.
  • Reliable availability Monday–Friday, 2:00 PM–7:00 PM, for the duration of the program term.
  • CPR/First Aid certification preferred, or willingness to obtain within a specified onboarding period.
Physical & Environmental Requirements
  • Ability to be active outdoors and indoors, including standing, walking, and light lifting (up to 25 lbs.) for setup/breakdown of program materials.
  • Ability to work in varying weather conditions consistent with DREAM's outdoor/experiential programming model.
