The Interprofessional Education Program at St. Catherine Universityinvites applications for a full-time Simulated ParticipantEducator (SPE) & Administrative Coordinatorposition.
This position provides administrative coordination for theInstitute of Simulation and Interprofessional Learning (I-SAIL) andserves as the team's primary Simulated Participant (SP) Educator.The position coordinates all aspects of the human simulationprogram; plans and leads SP coaching sessions in collaboration withfaculty and other key partners; serves as the primary point ofcontact for SPs; and provides SP prebriefing, event-day management,debriefing, and ongoing support. The position also supportshealthcare simulation accreditation, simulation andinterprofessional education (IPE) operations, departmentalcommunications, program evaluation and quality improvement, annualcollaboration events, the Annual IPE conference, and other I-SAILinitiatives.
Duties will include:
- Administrative Coordination for Simulation and IPE
- Manage simulation registration, IPE event registration, andsign-up processes
- Document and track simulation activities and IPE co-curricularactivities
- Manage delegated departmental email accounts and route requestsappropriately
- Complete PCard and out-of-pocket purchases and expensereconciliations for I-SAIL purchases.
- Coordinate departmental packages and mail
- Collect data and maintain organized electronic files andarchives of departmental documentation
- Compile and upload materials supporting healthcare simulationaccreditation
- Coordinate event logistics, including room scheduling, flyers,catering, sign-in processes, and continuing education certificatedistribution
- Manage I-SAIL priority-designation spaces within theUniversity's event management system
- Build and distribute simulation and IPE surveys used to assessprogram outcomes
- Assist with evaluation data-management and quality improvementactivities
- Assist with writing, formatting, proofreading, and distributingreports and outcomes, including annual reports, program-evaluationreports, and external marketing materials
- Collaborate with faculty lab manager to coordinate ordering ofconsumables across HSSHS and SoN programs
- Assist the IPE Director with IPE co-curricular scheduling
- Support updates to and management of the I-SAIL intranetsite
- Produce and store meeting minutes for all meetings within thedepartment (full department, committee level, advisory councils,etc.)
- Serve as I-SAIL's primary SP Educator and principal point ofcontact for SPs throughout recruitment, onboarding, preparation,participation, and follow-up.
- Coordinate the full human simulation workflow, including SPoutreach, recruitment, selection, matching, scheduling,confirmations, case-material distribution, and eventfollow-up.
- Plan, organize, and lead SP coaching sessions, co-facilitatingwith faculty, simulation specialists, or other key partners asappropriate.
- Collaborate with faculty and I-SAIL team members to clarifylearning objectives, SP portrayal expectations, feedbackresponsibilities, boundaries, event flow, and performanceexpectations before coaching and events.
- Prepare and send clear, timely SP communications, includingrole offers, coaching and event details, case materials, maps,parking instructions, attire guidance, schedules, and requiredforms.
- Coordinate SP-related logistics, including rooms, meals andrefreshments, parking, access, signage, consultant documentationand payments, supplies, and day-of arrival needs.
- Provide or coordinate SP orientation and prebriefing, includingexpectations, psychological and physical safety, confidentiality,boundaries, stop/pause processes, event flow, and feedbackguidance.
- Manage SPs during simulation events by welcoming and checkingthem in, confirming readiness, maintaining schedules and roomassignments, troubleshooting concerns, and coordinating withfaculty and other I-SAIL team members.
- Support SPs with moulage, supplies, costuming, robing anddisrobing, accessibility needs, and other role-specificpreparations.
- Facilitate SP debriefing, de-roling, checkout, and follow-upafter events, with support from other I-SAIL team members asneeded.
- Coach SPs in providing learner-centered verbal or writtenfeedback when feedback is part of the learning activity.
- Maintain accurate SP records, availability, participationhistory, training completion, payments, and other programdocumentation using approved systems.
- Gather feedback from SPs, faculty, learners, and team membersand contribute to continuous improvement, quality assurance, andconsistent SP methodology across I-SAIL.
- Promote an inclusive, respectful, accountable environment forSPs and promptly elevate concerns related to safety, boundaries,performance, or program quality.
- Order office supplies and materials supporting simulation andIPE programs.
- Order books, course materials, keys, and computers for facultyand adjuncts.
- Submit ServiceNow requests on behalf of the department.
- Provide copying and printing support for the I-SAIL team.
- Welcome and support students participating in I-SAILevents.
- Support technology, including Zoom rooms, for IPE co-curricularevents.
- Pick up and distribute departmental packages and mail.
- Answer and route telephone calls and student inquiries.
Minimum Qualifications:
- Experience communicating effectively with diverse stakeholdersthrough multiple methods, including email, telephone, virtualplatforms, and in-person interaction.
- Experience facilitating training, orientation, coaching, orgroup learning activities.
- Experience handling sensitive and confidential informationappropriately.
- Experience organizing, prioritizing, and completing multipleresponsibilities within established guidelines and deadlines.
- Proficiency with Microsoft Office Suite and GoogleWorkspace.
- Ability to learn and navigate information systems, databases,scheduling tools, and communication platforms.
- Ability to provide clear, constructive feedback and supportparticipants before, during, and after learning activities.
- Ability to work collaboratively while independently managingassigned programs, communications, and event logistics.
Preferred Qualifications:
- Associate degree, bachelor's degree, or some collegecoursework.
- Experience in simulated participant methodology, healthcaresimulation, standardized patient education, adult learning,training, or facilitation.
- Experience working in higher education, healthcare, or acommunity-engaged educational program.
- Experience supporting prebriefing, feedback, debriefing, orparticipant well-being following emotionally or physicallydemanding learning activities.
- Familiarity with simulation standards of best practice, SPprogram operations, or healthcare simulation accreditation.
Compensation:
Hourly wage is $20.42 - $28.59 depending on qualifications andexperience.
The salary range listed reflects a good-faith estimate of whatwe reasonably anticipate to pay for this position, based on marketdata and internal equity, at the time of posting. Actualcompensation will be determined based on qualifications,experience, skills, and other relevant factors. St. Catherinereserves the right to modify or adjust compensation depending onUniversity needs.
