Job summary

Geis Dealer Group is seeking a Shipping & Receiving Coordinator in Sedalia, MO. You will oversee incoming/outgoing shipments for the Parts department, inspect and store parts, and prepare and ship orders for customers and technicians.

The role supports inventory accuracy and a well-organized workspace, with driving responsibilities as a backup parts driver when needed. Day shift, 8:00am-5:00pm, $18.00-$23.00/hr.

Qualifications

• High school diploma or equivalent; additional training in warehouse or inventory management is a plus.
• Previous experience in shipping, receiving, or warehouse operations, preferably in automotive or heavy-duty trucking industry.
• Proficiency with inventory management software and basic computer applications.
• Strong organizational and time-management skills.
• Ability to lift and move heavy parts (up to 50 lbs.) and operate warehouse equipment.
• Forklift certification is required.

Responsibilities

• Receiving Duties: Inspect incoming parts shipments for accuracy, damage, and discrepancies; verify part numbers and quantities against PO; organize stock in designated locations.
• Shipping Duties: Prepare and package parts orders; verify shipments match order specs; attach labels and documentation; coordinate with drivers or carriers.
• Inventory Management: Monitor stock levels; assist with counts and cycle counts; ensure accurate inventory records; document and store returns properly.
• Organization and Maintenance: Maintain clean, safe shipping/receiving area; use proper storage and packing materials; handle hazardous materials safely.
• Customer and Team Interaction: Collaborate with parts counter staff and technicians; assist customers with parts pickup; communicate with vendors and carriers.
• Administrative Duties: Maintain shipment/receipt records; generate labels, invoices, and paperwork using dealership systems.
• Safety and Compliance: Follow safety standards; operate forklifts and warehouse equipment safely; comply with shipping regulations and vendor policies.

Job Overview

The Shipping & Receiving Coordinator is responsible for overseeing the efficient handling of incoming and outgoing shipments for the dealership’s parts department. This includes receiving, inspecting, and storing incoming parts, as well as preparing and shipping orders for customers, technicians, and other locations. The ideal candidate will ensure inventory accuracy and maintain a well-organized workspace to support the dealership's operations. This position will include driving responsibilities and will serve as a backup parts driver as needed.

Key Responsibilities

1. Receiving Duties:
   • Receive and inspect incoming parts shipments for accuracy, damage, or discrepancies.
   • Verify part numbers, quantities, and vendor documentation against purchase orders.
   • Organize and stock incoming parts in their designated locations in the warehouse.
2. Shipping Duties:
   • Prepare and package parts orders for shipment to customers or other locations.
   • Verify that outgoing shipments match order specifications, including part numbers, quantities, and shipping addresses.
   • Create and attach accurate shipping labels and documentation for each order.
   • Coordinate with delivery drivers or shipping carriers to ensure timely dispatch of orders.
3. Inventory Management:
   • Monitor stock levels and report low or overstocked items to the parts manager.
   • Assist with inventory counts, cycle counting, and maintaining accurate inventory records.
   • Ensure returned items are properly documented, labeled, and stored.
4. Organization and Maintenance:
   • Maintain a clean, safe, and organized shipping and receiving area.
   • Safeguard parts against damage by using proper storage methods and packing materials.
   • Ensure proper handling and storage of hazardous materials according to safety regulations.
5. Customer and Team Interaction:
   • Collaborate with parts counter staff, technicians, and other departments to fulfill parts requests promptly.
   • Assist customers with parts pick-up and provide accurate information regarding shipments.
   • Communicate effectively with vendors and carriers regarding shipping schedules and issues.
6. Administrative Duties:
   • Maintain detailed records of shipments & receipts.
   • Generate shipping labels, invoices, and other required paperwork using dealership systems.
7. Safety and Compliance:
   • Adhere to all dealership and industry safety standards, including the proper handling of heavy parts and hazardous materials.
   • Operate forklifts, pallet jacks, and other warehouse equipment safely and in compliance with training guidelines.
   • Ensure compliance with shipping regulations and vendor policies.
