Elizabethtown Community Housing in Elizabethtown, PA is seeking a Seasonal Shelter Operations Assistant to lead evening shelter operations and intake. You will coordinate staff and volunteers, address client concerns, and support Code Blue operations during emergencies.

Role requires strong organization, calm decision-making, and the ability to work with vulnerable populations while collaborating with a Program Director and on-call supervisors. Seasonal, evenings and shifts.

Responsibilities

  • Lead evening shelter operations and intake during shifts.
  • Coordinate staff and volunteer schedules; monitor coverage.
  • Address client concerns and behavioral incidents with staff.
  • Assist with Code Blue operations and emergency staffing.
  • Maintain shelter facilities and inventory; ensure proper food labeling and rotation.
  • Maintain daily updates on SharePoint; communicate updates.
  • Identify meal coverage gaps via Meal Train and coordinate meals.

Position SummaryThe Seasonal Shelter Operations Assistant provides evening operational leadership to ensure the safe, efficient, and effective daily operation of the emergency shelter. This position coordinates volunteer and staff coverage, oversees evening shelter operations, supports client services, and ensures communication between staff, volunteers, and leadership. The role requires strong organizational skills, sound judgment, and the ability to respond calmly to changing situations.ScheduleTuesday–Thursday: 3:00 PM – 7:00 PMFriday–Saturday: 6:00 PM – 9:00 PMAdditional hours may be required during Code Blue activations, holiday shelter extensions, or emergency staffing needs.Shelter OperationsLead evening shelter intake and admissions.Serve as the primary on-site contact for operational issues during assigned shifts.Address client concerns and behavioral incidents while collaborating with evening staff and on-call supervisors.Assist with Code Blue shelter operations and emergency staffing needs as assigned.Staff & Volunteer CoordinationOversee the seasonal shelter staff schedule and communicate staffing gaps proactively to the seasonal team and Program Director.Monitor volunteer coverage within the Volunteer Portal.Coordinate with the Community Engagement Coordinator and Program Director to ensure evening, overnight, morning, holiday, and Code Blue volunteer shifts are filled.Client Support & DocumentationIssue corrective action notices or behavioral plans to shelter guests when necessary, in coordination with the Program Director.Document incidents and communicate important operational updates to appropriate staff.Facility & Inventory ManagementMaintain organization of the shelter kitchen refrigerator and freezer, ensuring food is properly labeled, stored, and rotated.Monitor inventory of food, cleaning supplies, and operational materials.Identify shortages and communicate purchasing or donation needs.Communication & Administrative SupportMaintain daily updates on the SharePoint communication page, including:Staff announcementsVolunteer schedulesClient updatesOperational informationIdentify meal coverage gaps through the Meal Train website and coordinate with appropriate staff.Required Skills & QualificationsStrong organizational and communication skills.Ability to manage multiple priorities in a fast-paced environment.Comfortable working independently while collaborating with supervisors and staff.Ability to remain calm and professional during emergencies and challenging situations.Experience working with vulnerable populations is preferred.Basic proficiency with Microsoft Teams, SharePoint, and web-based scheduling platforms preferred.Required TrainingSuccessful candidates must complete or obtain training in:ServSafeFirst Aid/AEDNarcan AdministrationDe-escalation TechniquesHMISMicrosoft Teams and SharePointPhysical RequirementsAbility to walk throughout the shelter during shifts.Ability to lift and move supplies up to 25 pounds.Ability to respond quickly during emergency situations.
