Job summary

Kelso Industries is seeking an Accounting Administrator in Lancaster, PA to support service-related purchasing, warranty processing, and accurate financial recordkeeping. You will collaborate with service technicians, vendors, and manufacturers to ensure timely materials and proper warranty handling.

The role reports to the Accounting Manager and involves 3 days in office and 2 days remote, with responsibilities spanning purchasing, warranty documentation, and month-end activities.

Qualifications

• Associate degree in Accounting, Business Administration, or related field preferred.
• Minimum of 2 years of administrative, accounting, purchasing, or service department experience.
• Strong understanding of purchasing procedures and warranty administration.
• Proficiency in Microsoft Office, particularly Excel, and accounting.
• Excellent organizational skills and attention to detail.
• Strong communication and problem-solving abilities.
• Ability to manage multiple priorities while maintaining accuracy.

Responsibilities

• Process purchase orders for service-related parts, supplies, and equipment.
• Coordinate purchasing activities to ensure timely availability of materials for service operations.
• Process and track manufacturer warranty claims and warranty returns.
• Maintain accurate records of warranty credits, reimbursements, and outstanding claims.
• Verify pricing and coding of service purchases for proper accounting.
• Maintain organized records of purchasing, warranty documentation, and vendor files.
• Assist with month-end reporting and account reconciliations related to service operations.
• Communicate with vendors and manufacturers regarding warranty issues, returns, and purchase inquiries.
• Support the Service and Accounting Departments with administrative tasks and reporting.
• Ensure compliance with company policies, accounting procedures, and internal controls.

Position Summary

This position reports directly to the Accounting Manager and works collaboratively with the Service Department to support operational and financial objectives. This position focuses on service-related purchasing, warranty processing, inventory documentation, and accurate financial recordkeeping. The role works closely with service technicians, vendors, and manufacturers and reports directly to the Accounting Manager.
