Job summary

ePlus is seeking a Service Coordinator to support the Professional Services Team and project managers in the day-to-day activities, ensuring customer needs are met and internal standards are followed.

Based in Eastern or Central Time Zones, you will handle quotes, orders, SOWs, POs, timesheets, and invoices, coordinating with sales and engineering to keep projects on schedule and address issues promptly.

Qualifications

  • 2+ years of experience in an administrative, coordination, and/or operations role.
  • Billing experience preferred.
  • Basic accounting knowledge.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and comfort learning new systems/tools.
  • Strong attention to detail and ability to proofread documents for accuracy and completeness-
  • Excellent organizational skills with the ability to manage multiple priorities, deadlines, and follow-ups
  • Professional written and verbal communication skills, including confidence working cross-functionally (sales, engineering, PMs)
  • Customer-focused mindset with the ability to handle service issues tactfully and efficiently
  • Basic understanding of business documentation workflows, such as purchase orders, invoices, timesheets, and service deliverables
  • Problem-solving skills to identify project issues, elevate appropriately, and support resolution
  • Ability to maintain accurate records and update systems to support reporting, invoicing, and compliance
  • High integrity and discretion when handling legal/project documents and financial information
  • IT industry experience preferred
  • Bachelor's degree preferred

Responsibilities

  • Enter quotes and orders into applicable Professional Services Automation tool(s).
  • Work with the sales and engineering teams to ensure project-related documents (SOWs, customer PO, timesheets, and job costing) are completed.
  • Create vendor purchase orders and process invoices for payment.
  • Collaborate with the sales and engineering teams to keep projects on schedule
  • Identify and solve project issues
  • Work with the sales team to resolve client service issues
  • Keep management informed of project-related issues
  • Maintain engineer schedule and follow-up on timesheet submission
  • Obtain project completion signatures & ensure timely invoicing
  • Maintain data in applicable systems to ensure accurate reporting
  • Ensure legal project documents are completed and signed
  • Review all project documentation for accounting compliance
  • Proofread presales and post sales SOWs and proposals

Overview

  • Efficiently identify and solve project issues
  • Work with the sales team to resolve any client service issues
  • Keep management informed of any project-related issues

Position Specifics

The initial base salary range for this position is expected to be between $24.04 and $33.65 hourly. The final base salary offered will be determined by multiple factors, including, but not limited to, job-related knowledge, depth of experience, skills, certifications, and geographic location.

  • ePlus offers a full range of medical, financial, and/or other benefits (including 401(k) eligibility, employee stock purchase program, and various paid time off benefits such as vacation, sick time, and personal leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an offer of employment is extended.
