Job summary

Daikin Applied Americas Inc, located in Nashville, TN, is seeking a Service Coordinator onsite. You will schedule technicians, handle customer inquiries, track hours, and manage invoicing and warranty processes to ensure smooth project execution.

The role requires a High School Diploma, 2-4+ years in a mechanical/electrical/plumbing service field, and experience with HVAC technicians and service-tracking software. Proficiency in Microsoft Office is expected.

Qualifications

• Bachelor's degree may be considered in lieu of work experience
• Experience working with HVAC Technicians (preferred)
• Experience with Astea and/or any other service tracking software
• Proficient knowledge of Microsoft Office Suite

Responsibilities

• Schedule and dispatch technicians for startups, repairs, warranty and maintenance
• Handle customer inquiries and route technical questions to the appropriate resource
• Track time and attendance for technicians
• Coordinate startups and communicate with customers regarding scheduling and follow-ups
• Invoice and bill customers
• Assist in local office AP/AR and ensure payment is received
• Coordinate warranty administration, parts orders, and shipments
• Answer phones and greet customers professionally
• Assist new hires with onboarding paperwork (I-9)
• Maintain OSHA logs
• Enter and maintain data in ERP system (work orders, customer info, hours)
• Ensure timely close-out on work orders and proper paperwork
• Gather local prevailing wage data and report hours to HR
• Maintain office equipment filing
• Provide initial notification of Workers Compensation claims to insurer

Location: Nashville, TN - Onsite

Your Responsibilities:

• Work with Technician Supervisor and/or Operations, Service Center or District Manager in scheduling and dispatching of technicians for jobs (Startups/repairs, warranty, maintenance)
• Handle customer inquiries and routes questions of technical nature to the appropriate resource
• Tracking of time and attendance for technicians
• Coordinate job startups and maintain communication with the customer regarding scheduling for the startup and follow-up on jobs in progress/completed
• Invoice and bill customers
• Assist in performing local office AP/AR functions and follows up with customer to ensure that payment has been received
• Coordinate warranty administration process, parts orders, and track shipments
• Answer telephones and greet customers while maintaining professional and courteous customer contact
• Assist new hires in the completion of their new hire paperwork, complete employer required sections of forms (I-9) and ensure that it is sent to Human Resources on the new employee’s first day of employment
• Maintain OSHA logs
• Enter all information and maintain information into Enterprise Resource System. This includes work orders, new customer information, and technician hours for billing purposes
• Ensure timely close-out on all work orders and that all associated paperwork (P.O., etc.) is received and filed with the proper job
• Responsible for gathering local prevailing wage rate and completing sending hours worked by Technicians on those PW jobs to Human Resources
• Maintain filing for and office equipment (copier, telephone, fax, etc.)
• Provide initial notification of Workers Compensation claims to insurance carrier

Your Qualifications:

The typical hourly pay rate for this position ranges from $28.41 - $45.10 in Tennessee. The range displayed represents the pay range for all positions in the job grade which this position falls. Individual base pay will depend on a wide range of factors including your skills, qualifications, experience, and location.
