Job summary

Alfa Laval in Houston, TX seeks a Service Coordinator to support repair and reconditioning work for customers. You will quote repairs, prioritize jobs, manage each repair order, and drive process improvements in the shop.

You will liaise with sales, shop personnel and management, maintain schedules, track costs, and ensure accurate documentation and timely communication.

Qualifications

  • High school diploma or GED required.
  • 5+ years hands-on repair/reconditioning in manufacturing/service.
  • Ability to read blueprints.
  • Strong communication and teamwork skills.
  • Prioritize and meet deadlines in a busy shop.
  • Some knowledge of machining and welding techniques.
  • Proficiency with standard word processing & spreadsheets.

Responsibilities

  • Prioritize and coordinate repair/reconditioning projects with team leaders to improve utilization.
  • Provide job status updates to Sales team.
  • Maintain production schedules and participate in production meetings.
  • Manage outsource processes for standard tasks.
  • Research customer equipment in proprietary systems to confirm parts and lead time.
  • Use BPCS, Jeeves, Installed Base, SALLY, CAS, OPTO to locate information and update modifications.
  • Create and formalize repair quotes for end customers and internal teams.
  • Review shop quotes before pricing and finalization.
  • Perform tasks in MRP/Lotus Notes for ordering parts, expediting, and scheduling freight.
  • Communicate repair information to shop, customers, and sales personnel.
  • Assist Service Center to meet baseline measurements and KPIs.
  • Manage job costs to maintain acceptable margins and ensure recovery.
  • Participate in 5S, investment requests and process improvements.
  • Maintain inventory reports and proprietary software documentation.
  • Coordinate and assist in ACT warranty claims documentation.

About the job…

The Service Coordinator provides overall support for repair and reconditioning work for both our external and internal customers.

Key areas include provide quotations to our sales force, prioritize and coordinate repairs, overall management / administration of each repair order, continually seek ways to improve repair processes and techniques. The Shop Coordinator contacts customers to discuss repairs, quote repairs, follow up discussions after repairs, and assists in order entry and invoicing as needed.

This is an onsite position located in Houston, TX.

As a part of the team, you will:
  • Prioritize and coordinate the overall flow of repair and reconditioning projects with Team Leaders and Management, focusing on improving utilization and throughput.
  • Provide jobs status & updates to Sales team.
  • Maintain production schedules and assist with regularly scheduled production meetings.
  • Manage coordinate standard outsource process.
  • Research customer equipment in proprietary systems to confirm accuracy of parts and lead time.
  • Utilize BPCS programs, Jeeves, Installed Base, SALLY, CAS and OPTO, etc., to find information and to update modifications made on equipment.
  • Create & assure job packets for repair and reconditioning projects have the applicable drawings, quality plans and checklists, scan sheets, and EHS related documentation.
  • Create and formalize repair quotes to end customers and internal Sales teams.
  • Review of shop quotes before pricing and finalization.
  • Perform tasks within proprietary applications in MRP and Lotus Notes systems (order parts and expedite as needed, create PO’s for outsource operations, occasionally schedule freight, etc.).
  • Interact and communicate repair information to shop, end customers, and sales personnel.
  • Assist Service Center team to meet published baseline measurements and KPI’s.
  • Manage job costs: Assures selling price and costs are in line to maintain acceptable margins.
  • Assure recovery is in line with the jobs.
  • Be engaged and drive 5S projects, investment requests and process improvements in all areas.
  • Maintain applicable inventory reports, records, and proprietary software.
  • Coordinate and assist in the completion and documentation of all ACT warranty claims.
  • Positive participation in meetings, ALPS and improvement initiatives.
  • Perform other duties as directed by Management and business needs.
