Daikin Applied Americas in Charlotte, NC seeks a Service Coordinator to schedule and dispatch technicians for startups, repairs, and maintenance. You will handle customer inquiries, track technician time, and manage billing and warranty processes.

The role involves OSHA compliance, onboarding new hires, and maintaining ERP data for accurate work-order records and invoicing. In-office position with growth opportunities in a leading HVAC company.

Qualifications

• High School Diploma or GED.
• 2-4+ years of related experience in mechanical, electrical, or plumbing service field.
• Bachelor’s degree may be considered in lieu of work experience.
• Experience with HVAC Technicians (preferred).
• Experience with Astea and/or any other service tracking software.
• Proficient knowledge of Microsoft Office Suite.

Responsibilities

• Schedule and dispatch technicians for startups, repairs, warranty, and maintenance.
• Handle customer inquiries and route technical questions to the right resource.
• Track time and attendance for technicians.
• Coordinate startups and communicate scheduling updates to customers.
• Invoice and bill customers.
• Assist in local office AP/AR and follow up on payments.
• Coordinate warranty administration, parts orders, and shipments tracking.
• Answer phones and greet customers professionally.
• Assist new hires with paperwork and HR onboarding on day one.
• Maintain OSHA logs.
• Enter data into ERP with work orders, customer info, and technician hours.
• Ensure close-out on work orders and proper filing of related documents.
• Gather local prevailing wage rate data and report hours to HR.
• Manage office equipment records and filing.
• Notify insurance carrier of Workers’ Compensation claims.

Location:

Charlotte NC - In-Office

Your Responsibilities:

• Work with Technician Supervisor and/or Operations, Service Center or District Manager in scheduling and dispatching of technicians for jobs (Startups/repairs, warranty, maintenance)
• Handle customer inquiries and routes questions of technical nature to the appropriate resource
• Tracking of time and attendance for technicians
• Coordinate job startups and maintain communication with the customer regarding scheduling for the startup and follow-up on jobs in progress/completed
• Invoice and bill customers
• Assist in performing local office AP/AR functions and follows up with customer to ensure that payment has been received
• Coordinate warranty administration process, parts orders, and track shipments
• Answer telephones and greet customers while maintaining professional and courteous customer contact
• Assist new hires in the completion of their new hire paperwork, complete employer required sections of forms (I-9) and ensure that it is sent to Human Resources on the new employee’s first day of employment
• Maintain OSHA logs
• Enter all information and maintain information into Enterprise Resource System. This includes work orders, new customer information, and technician hours for billing purposes
• Ensure timely close-out on all work orders and that all associated paperwork (P.O., etc.) is received and filed with the proper job
• Responsible for gathering local prevailing wage rate and completing sending hours worked by Technicians on those PW jobs to Human Resources
• Maintain filing for and office equipment (copier, telephone, fax, etc.)
• Provide initial notification of Workers Compensation claims to insurance carrier

Your Qualifications:

• Experience with Astea and/or any other service tracking software

The typical hourly pay rate for this position ranges from $23.65 - $37.69 in North Carolina. The range displayed represents the pay range for all positions in the job grade which this position falls. Individual base pay will depend on a wide range of factors including your skills, qualifications, experience, and location.

Employment is contingent upon successful completion of pre-employment requirements, including verification of employment history, education, background screening, and drug testing where permitted by law. Safety-sensitive positions may require cannabis (marijuana) testing. All testing and employment decisions will comply with applicable federal, state, and local laws.
