Job summary

JLL, a leading professional services firm, is seeking a Service Coordinator in the Bedford/Cambridge, MA area. You will manage internal activities, vendor relations, and client services to ensure top-tier facility operations and customer satisfaction.

Responsibilities include handling work orders, coordinating service dates, greeting guests, and supporting mailroom and AV tasks. Requires strong communication, organizational, and MS Office skills with 2+ years of experience.

Qualifications

  • High School Diploma required.
  • Two or more years of relevant experience required.
  • Preferred: three years of administrative/facilities experience in commercial real estate.

Responsibilities

  • Respond to work orders promptly to meet KPI targets and deliver excellent service.
  • Coordinate with internal teams to schedule service dates for open work orders.
  • Escort visitors and vendors as needed and conduct daily office walkthroughs.
  • Identify operational improvement opportunities and draft SOPs for facility tasks.
  • Support building services including janitorial, mailroom, and AV needs; coordinate cross-service solutions.
  • Assist with scheduling and tracking client projects from start to finish; maintain client relationships.

Position Overview

The Service Coordinator serves as a key operational support role, managing internal activities, vendor relationships, and client services while ensuring exceptional service delivery across all facility operations. This position combines administrative excellence with proactive relationship management to maintain optimal building performance and client satisfaction.

Key Responsibilities
Service Delivery & Operations Management
  • Respond to all work orders in a timely manner, ensuring KPI compliance and excellent customer service
  • Coordinate with internal teams to schedule service dates for open work orders
  • Escort scheduled visitors and vendors as necessary
  • Conduct daily walkthroughs to ensure clean and organized office environments
  • Identify opportunities for improved operations and service excellence
  • Make recommendations for site inspections and assessments to ensure building procedures and performance measures are maintained, providing a safe workplace
  • Review, reformat, and create Standard Operating Procedures for facility operations tasks
  • Assist in resolving problems associated with all building services including but not limited to janitorial, mailroom, badging, and conference room/AV support
  • Coordinate solutions across various services to maintain operational efficiency
Client Relations & Project Management
  • Assist with scheduling and tracking client projects from start to completion
  • Proactively develop and maintain client relationships ensuring expected service levels are achieved
  • Ensure consistent delivery of exceptional customer service
  • Respond to and follow through on requests for information
  • Maintain detailed communication records
  • Communicate effectively with all levels of management with minimal supervision
Front Desk Duties
  • Greet, host, and provide support for guests, visitors, and employees
  • Assist visitors and employees with wayfinding
  • Answer all incoming calls
  • Manage visitor and parking requests
  • Update phone lists, SOPs, and other administrative duties as requested
General Office & Housekeeping Duties
  • Perform housekeeping duties (i.e., pick up and display literature, maintain a welcoming and clean presentation of the lobby, report any mechanical issues or other issues to the facilities group)
  • Assist with coordination and scheduling of office/building maintenance activities
Mailroom Support
  • Support onsite mailroom with packages/deliveries
  • Prepare postage/labels for mail/UPS/FedEx, courier services, etc.
Additional Duties
  • Any and all other duties and tasks as assigned
Qualifications
Education

Required:

  • High School Diploma
Experience

Required:

  • Two or more years of relevant experience

Preferred:

  • Three years of administrative/facilities experience supporting multiple people, preferably in the commercial real estate industry
Skills & Knowledge

Required:

  • Excellent customer service and relationship building skills
  • Strong organizational, interpersonal, and communication skills
  • Working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook

Preferred:

  • Working knowledge of audio-visual equipment located in conference rooms
  • Mailroom experience
Physical Requirements & Work Conditions
  • This work is partially a sedentary role
  • Must be able to handle packages, deliver mail/packages in multi-floor buildings, and bend, walk, or stand as necessary

Location: Bedford, MA

Work Schedule: 8hrs - 1st Shift/ Morning Shift

This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.

Expected compensation for this position:

54,800.00 – 67,200.00 USD per year

Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
