Position

The Service Coordinator will provide administrative support to the service department.

Essential Duties
  • Follow established processes and procedures in day-to-day job functionality.
  • Perform data entry, intermediate level clerical and administrative tasks for the service department.
  • Create, maintain, and receive purchase orders.
  • Manage payable invoice system for the service department related expenses; input required information/research/update/correct any discrepancies.
  • Verify accuracy of billing data, resolve disputes with vendors quickly and accurately.
  • Process parts order requests with urgency and efficiency; ensure problems are resolved; include researching key suppliers best pricing, and ensure all products and materials meet company standards.
  • Follow up and communicate closely with technicians and managers on status of parts orders.
  • Receive and stage incoming parts orders.
  • Update work orders with repair information and technicians’ labor time.
  • Assist with parts inventory including counting, count entry, and resolving discrepancies.
  • Review open work order and purchase order reports weekly to maintain prompt processing.
  • Assist with file maintenance related to safety inspections.
  • Collaborate with other departments to complete selected office functions.

Demands and Work Environment
  • Requires the use of standard office equipment, the ability to communicate verbally with others on site, in person and over the telephone, ability to read printed materials, signs, computer screens and directions, stamina to maintain attention to details despite interruptions, ability to lift, push, pull, carry, handle or feel objects, supplies, tools, machinery and/or controls weighing up to 50 pounds and reach with hands and arms; climb stairs and/or ladders; balance, bend, stoop, kneel, crouch, crawl, lift overhead, traverse around or otherwise position one's self around the required work and safety requirements to navigating and perform activities in a safe manner.
  • Will be required to work outside, frequently for extended periods of time in all weather, including extreme hot and cold temperatures.
  • While working, the employee might be exposed to various chemicals, vapors, pollutants, virus or other air-borne pathogens, gases, uneven surfaces, loud noises, moving vehicles or machines and dust/debris.
Expected Position Hours

This is a full-time position. Occasional overtime may be required as job duties demand with prior approval.

Minimum Requirements
Education and Work Experience
  • A high school diploma or GED is required.
  • Three (3) to five (5) years of administrative and clerical experience required; or a mix of education and on-the-job training may be a substitute for years of experience.
  • General knowledge of construction equipment or rental industry preferred.
Required Skills and Abilities
  • Excellent verbal and written communication, organizational skills, attention to detail, interpersonal and customer service skills.
  • Proficient with Microsoft Office Suite or related software.
  • Requires the ability to use and manage multiple online computer applications/systems with technical proficiency.
  • Highly organized and self-motivated, requiring minimal supervision.
Certifications, Licenses, and Other Requirements
  • Ability to pass pre-employment drug screen and background check.
