Location: Remote – working EST time zone

Client Industry: Technology

Duration: 18 months – potential to extend

Rate: up to $42/hr.

Note: Candidates without high level executive support experience will not be eligible for the role.

Summary:

The main function of the Team Business Administrator, in representation of our operations team and executive office, is to provide administrative support to leaders and their teams and be the conduit of information. This role will support 2 Leads (and their teams) who each have a team of 9 working for them. This is an international team that is highly culturally diverse. You will also work on stretch projects supporting the exec office – ensuring leadership and teams remain compliant with the Client’s policies and procedures.

The role will consist of 50% calendar management, 25% team support (onboarding etc.) and 25% supporting various projects for the executive team

Job Responsibilities:

  • Proactively manage leaders’ calendar, to ensure accurate scheduling and appropriate allocation of time, including scheduling with other Client executives and external customers and partners as needed.
  • Partner and provide support to teams, including managing a wide variety of tasks/projects, planning and coordinating travel, and keeping leaders informed of changes to business operations processes and policies.
  • Provide organizational support as needed, including but not limited to headcount management, morale events, DL management, space, and other tasks/projects as assigned.
  • Manage new employee setup, and procurement of goods and services including computer equipment, asset tracking, and facility requests.
  • Partner closely with their team to help with meetings, and meeting logistics including location planning and support for team events.
  • Exercise sound judgment, tact, diplomacy, integrity, confidentiality, and professionalism in communicating information and working with all levels of employees.
  • Work as a steward of adherence to policies and procedures

Skills:

  • Strong verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
  • Strong ability to work independently and manage one’s time.
  • Strong ability to keep information organized and confidential.
  • Ability to use and/or learn Microsoft productivity tools (Internal Microsoft tool knowledge is a plus)
  • Build and maintain high quality business relationships with executives, business partners, other administrative staff.

Must have requirements:

  • Bachelor’s degree is preferred
  • Minimum 6 years’ experience in high level complex calendar management
  • Minimum 6 years’ experience with managing international travel and Travel and Expense
  • Minimum 6 years’ experience with Team support (onboarding, events, logistics etc.)
  • Strong experience supporting a large team.
  • Experience supporting an international team.

Nice-to-have experience:

  • Large tech company experience,
  • CVP level support or executive level support
  • Demonstrates driving growth by taking on stretch projects
  • Project management experience
