Job description

JOB PURPOSE:

The Office Assistant provides clerical support to staff, supervisors & managers. This position involves daily interaction with both internal and external contacts, as well as exposure to sensitive, confidential information. The Office Assistant may be responsible for accurately receiving and sorting mail by departments and distributing the mail items to the appropriate department and person.

KEY RESPONSIBILITIES:

  • Communicate with external customers and internal employees in a clear, precise manner.
  • Copy, scan, and distribute correspondence to the correct department or recipient.
  • Record the arrival date and time of mail and packages.
  • Receive, sort, and distribute incoming mail and faxes.
  • Maintain office supplies and inventories including ordering, tracking, and distributing the supplies as needed.
  • Answer phones and transfer calls as appropriate, take and distribute messages.
  • Prepare outgoing mail and correspondence.
  • Update and maintain databases with customer data, ensuring the accuracy and completeness of the data.
  • Utilize Numotion Leadership Principles to perform the job with integrity, compliance, and values consistent with Numotion’s mission.
  • Adhere to employee or customer confidentiality and comply with Numotion’s policies and federal regulations.
  • Provide excellent customer service for all internal and external customers. Provide solutions for customer concerns and continually focus on customer service as our top priority.
