Job description

The City of Eustis is seeking a trustworthy, responsible individual who, under direction, performs highly specialized and responsible administrative work involving the operation of the Public Works Department. The employee works with considerable independence within the scope of established rules, regulations, and procedures.

Duties may include some or all of the following job functions:

  1. Serves as administrative support to a department or division;
  2. Composes, types, and prepares correspondence, reports, forms, etc.;
  3. Greet and assist the general public and visitors;
  4. Answer the telephone, take messages, screen and direct calls;
  5. Interpret and explain administrative policies and decisions when needed;
  6. Schedule meetings and maintain appointment schedules and calendars;
  7. Establish and maintain logs, files, databases, and records;
  8. Perform research and analyze data for departmental reports;
  9. Open, sort, and distribute mail;
  10. Process materials for meetings; record and transcribe minutes when assigned;
  11. Order and maintain inventory of office supplies;
  12. Monitor service contracts and routine maintenance/repairs;
  13. Verify accuracy of credit card statements and billing;
  14. Initiate budgetary purchases and process invoices;
  15. Monitor and balance departmental budget expenditures;
  16. Process employee timesheets for payroll;
  17. Collect, receipt, balance, and record money and negotiable instruments;
  18. Assist in the preparation of the annual budget.

Other Job Functions:

  • Assist in the preparation of special events;
  • Assist the City during emergencies such as hurricanes or storms;
  • Perform other related duties as required.

Knowledge, Abilities, and Skills:

Thorough knowledge of business English, punctuation, mathematics, spelling, office practices, departmental operations, and accounting principles. Ability to compose effective correspondence, maintain accurate records, analyze data, work cooperatively with the public, communicate clearly, make minor decisions, record minutes, maintain confidentiality, and remain on-site during emergencies. Skills include typing at least 35 CWPM, proficiency in Microsoft Word and Excel, and use of office equipment.

Minimum Qualifications: High School Diploma or equivalent, with additional training or education preferred. Three years of experience in a secretarial support role, preferably with government experience, along with accounting experience or an Associate's Degree, are highly desirable.

Working Hours: Monday through Friday, 7:00 a.m. to 4:00 p.m.

Salary: $18.14 to $25.79 per hour, with excellent benefits. Starting salary is $18.14 per hour.
