  • Calculate and record accrued dividends, long-term incentive plan expenses, and related liability entries based on approved schedules and supporting documentation.
  • Review monthly prepaid expense activity, prepare amortization entries, and maintain accurate supporting schedules.
  • Reconcile advances paid, interest receivable, miscellaneous receivables, prepaid expenses, and other assigned asset and liability accounts.
  • Reconcile corporate credit card activity, synchronize transactions from the credit card provider's system, and investigate outstanding discrepancies.
  • Investigate account variances, resolve reconciling items, and provide clear explanations and updates to the Manager of Accounting Services.
  • Support month-end and year-end close activities, including financial statement preparation, account reconciliations, and supporting documentation.
  • Maintain accurate accounting records and schedules in accordance with U.S. GAAP and established internal controls.
  • Identify opportunities to improve accounting accuracy, efficiency, and consistency across assigned processes.
Additional Responsibilities
  • Create and maintain vendor records and support vendor credit applications and trade-information requests in coordination with Accounts Payable.
  • Prepare and provide sales tax exemption certificates to vendors and maintain supporting documentation.
  • Prepare annual 1099 reporting, including data validation, corrections, and filing support.
  • Assist with external audit requests by preparing supporting schedules, reconciliations, and requested documentation.
  • Support process documentation and continuous improvement initiatives across general ledger, cash accounting, payables, and financial close activities.
  • Collaborate with Finance, Accounting, and other internal teams to investigate discrepancies and resolve accounting-related issues.
  • Maintain organized and accurate accounting documentation to support financial reporting and internal control requirements.
  • Demonstrate flexibility in supporting business partners across different locations and time zones.
  • Support accounting deadlines during peak reporting periods, including occasional extended hours, weekends, or holidays as business needs require.
  • Perform other duties as assigned.
Requirements
  • High school diploma or equivalent.
  • Three or more years of purchasing, procurement, supply chain, or expediting experience.
  • Demonstrated experience managing urgent material requirements and supplier expedites.
  • Experience working directly with suppliers, distributors, freight providers, and internal operational teams.
  • Proficiency with ERP/MRP and inventory-management systems.
  • Strong Microsoft Excel skills, including filtering, sorting, VLOOKUP/XLOOKUP, pivot tables, and data tracking.
  • Ability to analyze open-order reports, inventory data, supplier commitments, and material requirements.
  • Ability to research manufacturer part numbers, specifications, alternate components, and supplier availability.

  • Flexibility to support urgent service requirements outside normal business hours when customer or business needs require.
  • Ability to travel occasionally for supplier visits, service operations, company meetings, or other business needs.
  • Sound judgment when balancing customer downtime, material availability, premium freight, and total cost.
