Job summary

XPO Logistics, Inc. in Phoenix, AZ is seeking an Operations Specialist for Over, Short and Damage. You will investigate over, short and damaged freight, coordinate with customers and vendors, and use documentation tools to prevent claims and resolve issues quickly.

Qualifications

• 2 years of operational experience in transportation, warehousing or a similar field.
• Strong critical thinking and planning ability, with flexibility in a fast-paced environment.
• Excellent verbal and written communication skills; able to convey information clearly.
• Strong computer, typing and 10-key skills.
• Proficiency in Microsoft Office.

Responsibilities

• Research over, short and damaged freight and process related documentation to resolve issues and prevent claims.
• Communicate with customers, operations and vendors to resolve issues around shipments identified as over, short, damaged, refused or stranded.
• Effectively use tools related to matching freight and documenting shipment dispositions.
• Develop strong relationships with operational teams to solve recurring issues.
• Monitor paperwork and processes that impact claims, including timely communication of exceptions and POD handling.
• Track and maintain records for hazmat to ensure physical and electronic inventory alignment; coordinate spills disposal with vendors to meet EPA/OSHA standards.
• Bill shipments under applicable tariffs and pricing agreements.
• Collaborate with Cargo Claims Team to complete daily tasks to prevent claims.

What you’ll need to succeed as an Operations Specialist for Over, Short and Damage at XPO

• 2 years of operational experience in transportation, warehousing or a similar field
• Strong critical thinking and planning ability, the flexibility to work in a fast-paced environment and ability to dive into the details

What you’ll do on a typical day:

• Research over, short and damaged freight (including refused and undelivered freight); process related documentation and resolve errors for quick customer resolution and claim prevention
• Communicate with customers, operations and vendors as necessary to resolve issues around shipments identified as over, short, damaged, refused or stranded.
• Effectively use tools related to matching freight, documenting shipment dispositions, etc.
• Develop strong relationships with operational teams at the service center(s) to solve recurring issues
• Monitor controls of paperwork and processes that impact claims such as timely communication of exceptions on shipper-loaded trailers and proper handling of PODs
• Track and maintain detailed records for all hazmat to ensure that physical inventory matches electronic inventory; work directly with vendors to ensure that pick-up and disposal of spills and related documentation meets all EPA and OSHA standards.
• Bill shipments under applicable tariffs and pricing agreements
• Work with Cargo Claims Team to ensure specific tasks are completed on a daily basis to prevent claims

Operations Specialists for Over, Short and Damage are required to:

• Walk and/or stand for extended periods, up to 4 hours at a time, on a loading dock that is not climate-controlled and may be slippery
