Job Summary

This essential role provides high-quality administrative support to Financial Advisors, their clients, and branch staff. The ideal candidate will have effective communication skills across multiple platforms and the ability to manage multiple tasks in a fast-paced environment. Responsibilities
  1. Serve as the first point of contact for high volume interactions, including inquiries, quotes, and meeting scheduling with clients via phone, in-person, virtual, and mailings.
  2. Manage and standardize best practices for activities like client onboarding, liquidity events, and investment monitoring.
  3. Trade discretionary and non-discretionary products, maintain models, and track performance.
  4. Service alternative investments and foreign accounts, including setup and maintenance.
  5. Participate in live meetings with Financial Advisors and clients.
  6. Manage budgeting and expenses for Financial Advisors.
  7. Create reports to improve efficiency and track performance metrics.
  8. Onboard new clients, open accounts, and research client/security info using internal databases.
  9. Ensure client information complies with industry and firm requirements.
  10. Work independently and within a team to support financial advisors and branch operations.
  11. Assist with marketing efforts, seminars, and client events.
  12. Engage in training and professional development to stay current with policies and industry standards.
  13. Mentor junior team members and manage workflow for operational efficiency.
  14. Perform other duties as assigned.
Knowledge, Skills, and Abilities
  • Understanding of company policies, managed account platforms, and industry regulations.
  • Proficiency in CRM software, Excel, and communication platforms.
  • Ability to organize, prioritize, and manage multiple tasks in a dynamic environment.
  • Strong interpersonal and communication skills, both oral and written.
  • Customer service orientation and stress management skills.
Education and Experience
  • High School Diploma or equivalent plus five years of financial services experience, or an equivalent combination of education and training.
Licenses and Certifications
  • SIE (required), Series 7, and Series 63/65/66 as required by state.
  • Ability to obtain additional securities and advisory registrations as needed.
