Ricoh is seeking a seasoned Front of House/Office Support professional to warmly welcome visitors, manage inbound emails, and maintain a professional front desk presence in a busy corporate setting.

You will handle visitor check‑in, coordinate meeting spaces, arrange catering and A/V setup, assist with basic tech issues, and uphold confidential, high‑quality service for internal stakeholders and guests while supporting a collaborative, customer‑obsessed culture.

Qualifications

  • Requires high school diploma.
  • 8+ years of experience as a receptionist in a busy switchboard environment preferred.
  • Type 40 wpm.
  • Must be flexible to work hours between 7:00 AM and 5:00 PM (eight-hour shift).

Job Duties and Responsibilities Front of House / Office Support Key Responsibilities
Reception & Client Engagement
  • Welcome visitors with professionalism and warmth to ensure a positive first impression.
  • Manage incoming emails with discretion, accuracy, and confidentiality.
Visitor Management
  • Efficiently check in guests, issue badges, and notify hosts without delay.
  • Enforce visitor protocols to uphold security and hospitality standards.
Conference & Meeting Support
  • Prepare meeting spaces for both small and large gatherings, ensuring readiness and alignment with event requirements.
  • Confirm room setups meet specifications, including seating arrangements, A/V functionality, and required materials.
Catering & Hospitality
  • Coordinate catering orders based on meeting objectives and dietary needs.
  • Monitor delivery timelines, validate setup quality, and reconcile related invoices.
Technology Assistance
  • Confirm functionality of audio, video, and connectivity prior to meetings.
  • Address and resolve minor technical issues to prevent disruptions.
Qualifications (Education, Experience and Certifications) Typically Required:
  • Requires high school diploma.
  • Experience working in a Headquarters environment preferred.
  • 8+ years of experience as a receptionist in a busy switchboard environment preferred.
  • Type 40 wpm.
  • Must be flexible to work hours between 7:00 AM and 5:00 PM (normally an eight-hour shift).

  • Strong verbal and written communication skills.
  • Demonstrated customer service/relations skills.

WORKING CONDITIONS, MENTAL AND PHYSICAL DEMANDS
  • Typically, an office environment with adequate lighting and ventilation, and a normal range of temperature and noise level.
  • Work assignments are diversified. Interpret, comprehend and apply complex material, data and instruction; prepare, provide and convey diversified information.
  • Minimal physical effort required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that typically weigh less than 10 lbs. (e.g., papers, books, files and small parts, etc.).
  • Moderate dexterity; regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination).
