Position Summary:

Hillwood Urban is seeking an experienced and service-oriented Senior Property Manager to manage the daily operations of a newly constructed Class AA commercial office building located in Uptown Dallas, Texas. Reporting to the Director of Property Management, this individual will be responsible for delivering high-quality property management services with a focus on tenant satisfaction, operational efficiency, and financial performance. The ideal candidate will be a proactive team player with a strong customer service mindset, business acumen, and a passion for excellence.

Responsibilities:
  • Maintain accurate and organized property files, including leases, vendor contracts, and compliance documentation.
  • Maintain current tenant and vendor contact information and ensure proper Certificates of Insurance are on file and compliant.
  • Enforce building rules and regulations and support security, safety, and emergency protocols.
  • Input and manage tenant work orders through the building management system and monitor resolution timelines.
  • Coordinate and review bid proposals, negotiate vendor contracts, and monitor performance of third-party service providers.
  • Conduct regular property inspections to identify maintenance needs, ensure cleanliness, and prevent potential issues.
  • Respond to all tenant inquiries and service requests in a timely and professional manner.
  • Assist in the oversight of on-site personnel and service teams.
  • Oversee daily property operations, ensuring all building functions and services are delivered to a high standard.
Financial Management:
  • Process and code invoices using the designated accounts payable system in alignment with approved budgets.
  • Review tenant accounts receivable and manage collection efforts, including direct outreach and documentation.
  • Assist with monthly financial reporting and tracking of operating expenses, capital projects, and tenant bill-backs.
  • Support the preparation of annual operating and capital budgets, as well as year-end expense reconciliations.
Tenant Relations and Retention:
  • Maintain and update tenant welcome materials, handbooks, and contact lists.
  • Serve as a primary point of contact for tenants, responding promptly to inquiries, service requests, and concerns.
  • Coordinate tenant move-ins and move-outs, including logistics for furniture delivery and vendor access.
  • Manage operations of shared amenity spaces, including tenant lounges, rooftop terraces, and fitness centers.
  • Plan and execute tenant appreciation events, holiday programs, and building-wide communications.
  • Foster strong relationships with tenants to promote satisfaction, renewals, and long-term retention.
Required Skills and Abilities:
  • Strong customer service orientation with a professional and polished demeanor.
  • Excellent verbal and written communication skills; able to effectively engage with tenants, vendors, contractors, and internal stakeholders.
  • Strong interpersonal skills and ability to foster collaborative relationships across departments.
  • Highly organized and detail-oriented, with the ability to manage multiple priorities, deadlines, and operational workflows.
  • Demonstrated ability to hold vendors accountable to service-level expectations.
  • Familiarity with property budgeting, financial reporting, invoice processing, and accounts receivable follow-up.
  • Strong analytical and problem-solving skills with a proactive, solution-oriented mindset.
  • Adaptable and calm under pressure, with strong follow-through and ownership from task initiation to completion.
  • Proficient in Microsoft Office Suite, particularly Excel; experience with Yardi and AvidXchange preferred.
Education and Experience:
  • Bachelor’s degree preferred or equivalent work experience.
  • Minimum of 5–7 years of experience in commercial property management, preferably with Class A office assets.
  • Experience with lease administration, budgeting, and vendor management.
  • RPA (Real Property Administrator) or CPM (Certified Property Manager) designation preferred, or willingness to pursue.
  • Active or future involvement with industry organizations like IREM or BOMA encouraged.
