Job Summary

The Senior Project Manager II (SPM II) plays a critical role in supervising the successful execution of architectural projects. This position involves managing multiple programs and staff members with a firm understanding of building systems and code to ensure the team meets the standard of care on all projects. The Senior Project Manager II is responsible for client satisfaction and consultant relationships. The ideal team member will demonstrate strong leadership skills, mentor junior team members, and continuously seek to improve processes and outcomes. The Senior Project Manager II directly assists the Studio Director as their “second in command” and will actively working towards mastering Studio Lead skills and responsibilities.

  • Qualified and able to train in all junior staff roles & responsibilities.
  • Studio Lead in training with the expectation of taking over the studio should the need arise.
  • Serve as “second in command” to the Studio Lead and be able to keep the studio running efficiently in the Studio Lead’s absence.
  • Identify propose and/or develop training initiatives at studio and firm wide level as needed.
  • Provide oversight and guidance for the daily supervision, support and mentorship of interns, project coordinators, project managers and ensuring their professional growth and development.
  • Performs junior team member’s quarterly chats and assists with annual reviews.
  • Assists the Studio Director in determining staffing forecasts for the studio.
  • Understand disciplinary processes and assist the Studio Lead in staff discipline when necessary.
  • Active role in new staff onboarding and recruiting/hiring.
  • Program Ownership:
    • Represent the program as primary contact and point person for all staff, disciplines, clients, and consultants.
    • Serves as main contributor during client meetings, presentations, and public hearings.
    • Responsible for allocating in-house and coordinating consultant resources, planning and implementing task schedule for respective program(s) and projects prior to commencing work, and documenting milestones (both internal and client deadlines) through duration of projects.
    • Comfortable managing multiple large programs with minimal supervision.
    • Assists with Business Development efforts with new and existing clients.
  • Project Execution:
    • Responsible for monitoring the progress of projects and programs to maintain a minimum 90% rating for on time and budget measurables.
    • Anticipates and mitigates potential issues that may cause delays, scope creep, budget overruns. Should such issues arise SPM is responsible for working with SL and PM’s to negotiate adequate schedule increase and additional service fees as necessary.
    • Able to effectively and efficiently delegate work to staff members, ensuring the work gets completed correctly and on time.
  • Monitoring closeout process including archiving and financial closeout (Ajera).
  • Monitors project progress using tools such as Ajera and Bloomgrowth and manage KPIs to track performance.
  • Manages construction administration activities, including bidding, RFI responses, submittals, and project closeout procedures.
  • Quality and Accuracy:
    • Capable of delineating/scheduling final QC on projects with both typical scope and complex one-off projects.
  • Financial Understanding:
    • Responsible for attaining financial success, ensuring the quality of construction documents, adhering to project timelines, and providing exceptional client service for projects and programs.
    • Utilize the pricing template to create proposals, determine fees and budgets with little oversight, and subsequently monitors estimates and assumes complete ownership of the assigned proposals and ensure junior staff meets their required measurables.
    • Invoicing projects upon completion and coordinating with the accounting team to ensure accuracy with minimal oversight from SL.
  • Able to provide weekly and monthly financial forecasting for the studio.
  • Has a basic understanding of the studio budget, revenue goals, and KPIs.
  • Plays active role in collections.
  • Firm grasp of how to apply building and accessibility code and the ability to review junior staff’s work regarding code.
  • In responsible charge of following submittal requirements and tracking in Ajera,the TDLR process in Texas.
  • Provides subject matter expertise in discussing code and permitting comments with applicable AHJ reviewers. Capable of negotiating away unreasonable comments.
  • Administrative Tasks:
    • Manage time and Expense approval / scheduling / phasing / budgets / invoicing in Ajera in a timely manner.
    • Ajera: approval of timesheets & expense reports, adding estimated/actual completion dates, logging % complete throughout projects, fully billing/invoicing projects, TDLR Widget verification, monitoring/understanding staff KPI Widgets, project closeout.
    • Assist Studio Lead in tracking scorecard measurable for studio throughout the week.
  • Track KPI and scorecard measurables for programs throughout the week.
  • Bloomgrowth: logging data from KPI Widgets into scorecard measurables.
Skills & Abilities
  • Strong organizational and communication skills, both verbal and written.
  • Proficiency in software such as Revit, AutoCAD, Sketchup, Lumion, Photoshop, Ajera, and Microsoft Office.
  • Firm understanding and ability to train in architectural building systems and building codes.
  • Ability to coordinate multiple projects simultaneously.
  • Ability to manage multiple staff members simultaneously.

  • Standard office conditions with typical noise levels.
  • May involve occasional exposure to construction site environments.
Physical Demands
  • Regularly required to sit, stand, and walk.
  • May involve occasional local and out of state travel to perform surveys in various conditions.
Position Type and Expected Hours of Work
  • Full-time position.
  • Hybrid, two days remote, three in-office.
  • Typical office hours are Monday through Friday, 8 AM to 5 PM with some flexibility, as approved by supervisor(s).
Travel
  • Travel may be required as needed.
Education and Experience
  • Accredited degree in Architecture or related field (Preferred)
  • Typically, 10-12 years of successful experience managing multiple, multi-disciplinary projects and various programs.
  • Proficiency in relevant architectural software.
  • Proficiency with Energy Compliance Checks
  • Experience in architectural building systems and construction documentation.Certifications in relevant architectural software and methodologies are a plus.
