In this pivotal position, you will manage the end-to-end project lifecycle for client initiatives from concept to delivery, working closely with account and creative leads to define project scope, timelines, and budgets.

Reporting to the Associate Director of Project Management, you will shape the future of our project management practice as we transition to Adobe Workfront as our enterprise PMO platform. You will play a key role in establishing best practices, mentoring team members, and driving operational excellence.

We’re seeking a strong communicator with a “get it done” attitude and a deep understanding of the roles and deliverables essential for successful execution. The ideal candidate excels at juggling multiple priorities and building trusted relationships across all organizational levels in creative environments and structured project workflows.

RESPONSIBILITIES
  • Lead project intake and develop detailed project plans including scope of work, timelines, resource allocation, and budget management for large-scale, complex projects, ensuring clear requirements and realistic expectations
  • Monitor budgets throughout project lifecycle, proactively identifying and communicating scope changes and impact
  • Act as the primary point of contact for all assigned projects, maintaining a deep understanding of project status, dependencies, and next steps
  • Manage resource allocations across projects, collaborating with Associate Director and fellow project managers to balance team workloads effectively
  • Proactively coordinate kickoff meetings and check-ins, and clearly communicate project timelines to cross-functional team, fostering transparency and collaboration
  • Review project deliverables to ensure adherence to the scope of work, including advising on the feasibility of creative concepts
  • Cultivate strong partnerships with external vendors, managing relationships from initial engagement through project delivery
  • Lead weekly internal status and staffing meetings and collaborate with fellow project managers to balance creative team workloads, adjusting resourcing assignments as priorities shift
  • Mentor junior and mid-level project managers, supporting their professional development
  • Maintain the accuracy of project documentation within your projects, ensuring proper use of agency systems and adherence to agency standards
QUALIFICATIONS & REQUIREMENTS
  • Bachelor’s degree and/or relevant experience required
  • 5-7+ years of project management experience, preferably within an advertising or production agency environment
  • Proficient in Microsoft Office programs (Outlook, Teams, Word, Excel, PowerPoint)
  • Adobe Workfront experience strongly preferred (or similar enterprise PMO tools such as Smartsheet, Monday.com, Asana, etc.)
  • Strong understanding of production-related projects (digital, social, print, broadcast, integrated content)
  • Experience with resource forecasting, planning, and portfolio management
  • Proven track record managing both large and small multi-faceted projects with competing priorities and tight deadlines at the same time
  • Exceptional written and verbal communication skills with a positive, solutions-oriented attitude
  • Experience working in matrixed or cross-agency collaborative environments is a plus
  • Ability to thrive in a fast-paced, dynamic agency environment
