Job summary

Northwestern University is seeking a versatile operations professional to support the marketing and communications team. The role focuses on managing web and email marketing functions, coordinating with Alumni Relations and Development partners, and ensuring projects run smoothly and on schedule.

You will help migrate to a new CMS, handle routine operational tasks, and collaborate across divisions to improve program delivery while maintaining compliance and quality.

Qualifications

  • Bachelor's degree or equivalent combination of education and experience.
  • Digital marketing experience—email marketing experience a plus.
  • Knowledge of CAN-SPAM Act and WCAG standards.
  • Alumni Relations or Development experience is a plus.

Responsibilities

  • Serve as liaison to IT to ensure systems meet users' informational, analytical and computing needs.
  • Coordinate advertising materials and alumni outreach to promote programs.
  • Analyze outcomes and recommend changes to improve programs and projects.
  • Plan meetings, workshops and events and manage logistics to foster internal and external relationships.
  • Support program development and sponsor relations and coordinate logistical support.
  • Develop and implement processes for safety, security and compliance programs.
  • Contribute to strategic planning and operational improvements; perform other duties as assigned.

Job description

Full job description. Contributes to the operational excellence of programs and projects run through the marketing and communications team. Ensures the effective, compliant, and efficient daily management of web and email marketing functions in support of the business area’s mission and in coordination with Alumni Relations and Development partners such as the Northwestern Alumni Association and Annual Giving as well as other campus partners outside of our division. Provides support on system migrations and fulfills other responsibilities as they arise.

This individual will assist with the migration of our centralized and decentralized email marketing functions as well as several web properties to a new content management system. As this work is being taken on by the digital team, this individual will also assist with regular operational tasks to ensure routine projects are running smoothly and on time.

Responsibilities
  • Administration
    • Acts as liaison to IT to ensure technology systems are properly installed, maintained and meet the informational, analytical and computing needs of users.
    • Ensures necessary hardware, software and network infrastructure services are appropriated from central or internal IT.
  • Communications, Outreach & Recruitment
    • Ensures that all advertising and marketing materials accurately represent programs.
    • Pursues opportunities for alumni contact and solicitation.
  • Evaluation
    • Reviews and analyzes outcome measurements and recommends changes and enhancements to improve program/project.
    • Collaborates with internal and external partners to implement changes designed to improve or increase program/project goals and objectives.
  • Events
    • Manages planning and arrangement of meetings, workshops and events designed to exchange information, promote research objectives and build internal and external relationships within NU.
    • Manages event details including communication, venues, presenters, travel arrangements, materials, refreshments and technology to be arranged and completed in an appropriate and timely manner.
  • Program Development
    • Researches competitor and state‑of‑the‑art developments to enhance, improve and innovate program curricula and delivery to better meet goals and objectives.
    • Coordinates with program/project sponsors on the delivery of all onsite instruction and provision of logistical support.
    • Manages relationships with partners, foundations and others and coordinates logistical support.
    • Continually assesses and innovates program/project to achieve educational goals.
  • Regulatory Compliance
    • Manages development and implementation of processes and procedures for all safety, security and compliance programs.
    • Manages compliance.
  • Strategic Planning
    • Manages strategic plans.
    • Provides advice, counsel and recommends changes and improvements to functional operations to better meet organizational needs and objectives.
  • Miscellaneous
    • Performs other duties as assigned.
Minimum Qualifications
  • Successful completion of a full four‑year course of study in an accredited college or university leading to a bachelor’s or higher degree; or appropriate combination of education and experience.
  • Experience in digital marketing—email marketing‑specific experience a plus.
Minimum Competencies
  • MS Office or comparable systems.
  • Excellent communication skills.
  • Capable of multitasking, at times working with multiple teams.
  • Attention to detail.
Preferred Qualifications
  • Alumni Relations and/or Development experience.
  • Experience with Anthology Encompass.
  • Experience with an email marketing platform such as Salesforce Marketing Cloud.
  • Experience within a content management system such as Cascade by Hannon Hill.
  • Experience with an event management platform such as Blackthorn Events.
  • Managing workgroups and related meetings.
  • Basic HTML knowledge (editing links, formatting text, floating images and text).
  • Knowledge of the CAN‑SPAM Act and WCAG standards.
  • Knowledge of Chicago Manual of Style and experience following an in‑house style guide.
Salary

Target hiring range for this position will be between $56,000–$60,000 per year.
