Job summary

HDR is seeking a Senior Administrative Project Coordinator for our Building Engineering Services Group in Minnesota. You will support project managers with document control, contracts, invoicing, and client coordination on tech/media/telecom, data center, and mission-critical projects.

Travel and extended stays at project sites are required. The role emphasizes QA/QC, scheduling, and coordinating cross-disciplinary teams to deliver on time and within budget.

Qualifications

  • Associate degree in a closely related field or combination of education and relevant experience.
  • Minimum of 3 years related experience.
  • Proficiency in Microsoft Word and Excel.
  • Active participation in employee-owned culture is a must.

Responsibilities

  • Compose, format, proofread, edit and organize documents, reports, specifications and correspondence.
  • Coordinate meetings and assist with presentations.
  • Track financial aspects of projects and ensure budget and schedule compliance.
  • Prepare, organize and assist with contracts and sub-contracts.
  • Coordinate staffing and workload across project life cycle to ensure deliverables on time.

HDR is currently seeking a Senior Administrative Project Coordinator for our Building Engineering Services Business Group located in Minnesota. Our team is an integrated facility and infrastructure design team consisting of core services of Mechanical, Electrical, Plumbing, Structural and Site Civil Engineering. While we work in a wide variety of markets this role will be focused on Tech/Media/Telecom, Data Centers, and Mission Critical buildings and infrastructure.

This role is responsible for the execution of HDR’s tasks including proposal generation, quality control, risk assessment, and on time design deliverable execution. This dynamic individual will be engaged with clients and will require leadership and communication skills that facilitate team collaboration. In this role, you will collaborate with the project PM’s to support their efforts. You will need to build strong external client relationships as well as internal bond with the other HDR PMs. Other responsibilities include participating in marketing and project planning and serving as a representative of HDR to the local industry.

Travel and extended stay at project site locations is required.

In the role of Senior Administrative Project Coordinator, we'll count on you to:

  • Compose, type, format, proofread, edit and organize documents, reports, specifications and correspondence
  • Create and maintain paper and electronic files
  • Order insurance and monitor insurance certificates
  • Assist with developing project guides, and provide information and support for project reviews
  • Apply company quality assurance guidelines and procedures for project document management
  • Prepare, organize and assist with contracts and sub-contracts
  • Coordinate meetings and assist with presentations
  • Exhibit professionalism with clients
  • Work closely with multiple Project Managers and project teams
  • Assist with or prepare project invoices as needed
  • Perform other duties as needed
  • Coordinate work of single or multidiscipline teams throughout the project's life cycle (from development and initiation to close-out), while under supervision of a Project Manager
  • Responsible for many aspects of a small project or a single aspect of a larger project
  • Produce and coordinate several projects concurrently
  • Coordinate staffing and workload through entire project life cycle, and ensure completion of deliverables on schedule
  • Track financial aspects of projects, and coordinate and adjust work effort with team to ensure that work is completed within parameters of agreed-to budget and schedule
  • Work with the Accounting, Operational and Business leadership for periodic project reviews
  • Implement QA/QC procedures
  • Perform other duties as needed

Preferred Qualifications

  • PMP certification
  • Familiar with Microsoft Office, estimating and scheduling software, project management software
  • Experience designing complex and large-scale healthcare, laboratory, and/or mission critical data center facilities

Required Qualifications
