Job summary

The University of Chicago Institute for Climate and Sustainable Growth is seeking a Senior Program Coordinator to lead visitor management and seminar series within the Events team, partnering across departments to ensure smooth operations and engaging programming for scholars and guests.

You will coordinate travel, scheduling, budgets, and vendor coordination, serve as a primary point of contact for speakers, and help maintain calendars and program materials in a fast-paced academic setting.

Qualifications

• Bachelor’s degree in related field.
• 2+ years of work experience in program coordination or related fields preferred.

Responsibilities

• Leads coordination and logistical management of visitors, scholars, and affiliated guests, including travel, accommodations, itineraries, schedules, and campus activities.
• Serves as primary contact for visitors before and during their time at the Institute, ensuring a welcoming experience.
• Collaborates with leadership and staff to support engagement, onboarding, documentation, and processes.
• Maintains calendars, office space assignments, and communications related to visitor programs and engagement opportunities.
• Manages recurring seminar series and visitor programs, coordinating speakers, scheduling, travel, and program materials.
• Provides onsite leadership for assigned programs and events and ensures high-quality experiences for speakers and visitors.
