Responsibilities

  • Enters projects into the Water Utilities Database (WUD) and Teams Planner; prepares digital submittal files for review.
  • Develops processes to meet response requirements and coordinates team activities; produces weekly data reports.
  • Responds to regulated community correspondence per SOPs and uses independent judgement.
  • Maintains team databases, FAQs, and response templates; updates training materials.

Salary

The annual salary for this position ranges from $45,400 to $50,000. The final offer will be commensurate with the candidate’s relevant experience and qualifications.

Purpose of Position

Serves as the coordinator for the Water Supply Division’s Technical Review and Oversight Team (TROT) at the Texas Commission on Environmental Quality (TCEQ), providing professional knowledge, administrative and managerial skills, and coordination for the assigned programs and projects. Responsible for coordinating the team’s administrative and technical tasks.

Essential Functions
  • Provides quality control and oversight to exception request submittals.
  • Examines and enters projects into the Water Utilities Database (WUD) and Teams Planner Application (or other tracking database) in accordance with standard procedures and in a timely manner, updating or correcting documentation as needed; prepares digital submittal files for review by technical staff.
  • Develops processes to meet TCEQ response requirements and coordinates and organizes team activities and meetings to support the Team Leader; produces weekly project spreadsheets and other weekly data reports; maintains team templates and guidance documents and ensures accessibility of documents, monitors the section’s email box as needed.
  • Responds to regulated community correspondence using standard operating procedures and independent judgement.
  • Develops and maintains team databases to include frequently asked questions and response templates.
  • Develops and maintains digital training guidance materials for staff.
  • Coordinates the Team’s Project Timeframe Tracking (PTT) reporting (project accounting).
  • Performs other duties assigned.
Required Qualifications
  • Bachelor’s degree and (3) three years related experience in administrative support, business administration, data analysis, or project management. OR seven (7) years of an equivalent combination of education and experience.
Preferred Qualifications
  • Master's degree with one-year related experience.
  • Experience performing administrative review of technical documents, records management, and data entry.
  • Experience in creating basic databases and digital training materials.
Knowledge, Skills & Abilities
  • Solid working knowledge of Microsoft Word, Excel, and Teams and ability to learn and implement appropriate UTA and TCEQ rules, regulations, and procedures. Follows all applicable institutional standard operating procedures.
  • Adheres to institutional paper and electronic file management requirements.
  • Skill in organization, attention to details, and communication with clients, customers, and coworkers to gather information and/or explain policies and procedures.
  • Skill in reviewing and analyzing records; determining proper courses of action; managing time and assignments to meet deadlines.
  • Ability to draft routine correspondence, reports, documents, policies, procedures, or other lengthy documents via handwritten or use of technology; perform visual activities requiring prolonged attention to detail such as editing and proofreading; integrate complex concepts, procedures, and processes; mentor and train new staff; exercise independent judgement and initiative with minimal supervision.
Work Schedule
  • Monday through Friday; 8:00am through 5:00pm
  • Hybrid eligible.
  • Infrequent travel (i.e., annually) for activities such as job skills training or participating in institutional and client meetings and conferences.
  • Based on funding availability. The position set to continue until the start of fiscal year of 08/31/2027.
