Responsibilities

Job Summary

Are you an experienced healthcare administrative professional who thrives in a fast-paced clinical environment? Join our team and play a critical role in supporting patients, providers, and practice operations while helping ensure seamless care delivery.

As a Practice Assistant III, you'll serve as a key resource within the practice, utilizing your expertise in scheduling, registration, and billing systems while supporting complex patient coordination, including surgical scheduling.

What You’ll Do
  • Coordinate patient appointments and maintain accurate scheduling records
  • Welcome patients and provide outstanding customer service throughout their visit
  • Answer incoming calls, assist with routine inquiries, and schedule appointments
  • Process patient forms, billing documentation, and updates to the electronic medical record
  • Serve as a subject matter expert for scheduling, registration, and billing systems
  • Coordinate complex scheduling activities, including surgical scheduling, provider schedule management, and template/block scheduling
  • Provide training, guidance, and day-to-day support to Practice and Office Assistants
  • Partner with leadership to help oversee daily practice operations and workflow
  • Manage messages and requests related to prior authorizations, prescription refills, provider inquiries, and test results
  • Collect co-payments when applicable
What We’re Looking For
  • Experience in a healthcare, physician practice, or clinical office setting

  • Experience with patient scheduling, registration, billing, and electronic medical records preferred
  • Demonstrated ability to serve as a resource and mentor to team members
Qualifications
  • Education: High School Diploma or Equivalent required
  • Can this role accept experience in lieu of a degree? No
  • Experience: office experience 3-5 years required
  • Knowledge, Skills & Abilities: Strong technology and MS Office skills - Advanced Outlook, Word, Excel, PowerPoint Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to proofread and edit written documents.
