PVS is seeking a Senior Parts Specialist to lead day-to-day branch parts department activities, including parts ordering, receiving, stocking, inventory accuracy, vendor communication, backorder tracking, returns, and credits. This role supports shop productivity by ensuring parts availability and maintaining accurate data.

You will train and mentor parts staff, monitor spending, and collaborate with technicians, service writers, foremen, and vendors to optimize parts flow and cost control.

Qualifications

  • High school diploma or equivalent required.
  • Three or more years of experience in a parts department, warehouse, inventory, purchasing, shop, or related technical field.
  • Valid driver’s license with a clean driving record if assigned to pick up or deliver parts.

Responsibilities

  • Oversee day-to-day parts department operations, including timely parts ordering, receiving, stocking, and distribution.
  • Maintain accurate inventory counts through regular cycle counts and full physical inventories.
  • Source, quote, and order parts from approved vendors and negotiate pricing when appropriate.
  • Ensure parts are stocked, labeled, organized, and maintained in compliance with company standards.
  • Track backorders and expedite critical orders to minimize shop downtime.
  • Manage returns, cores, warranty parts, credits, incorrect shipments, damaged goods, and related documentation.
  • Provide quick and accurate parts support to technicians, service writers, foremen, branch managers, and shop personnel.
  • Train, mentor, and oversee parts counter staff, parts runners, or assigned parts support personnel.

Summary:

The Senior Parts Specialist is responsible for leading day-to-day branch parts department activity, including parts ordering, receiving, stocking, inventory accuracy, vendor communication, backorder tracking, returns, cores, warranties, credits, and parts support for technicians and shop personnel. This position supports shop productivity by ensuring parts availability, maintaining clean and organized storage areas, training and mentoring parts support staff, monitoring parts spending, and maintaining accurate parts system data.

Responsibilities:
  • Oversee day-to-day parts department operations, including timely parts ordering, receiving, stocking, and distribution.
  • Maintain accurate inventory counts through regular cycle counts and full physical inventories.

  • Communicate effectively with service writers, foremen, branch managers, vendors, and suppliers regarding parts status, delays, pricing, and availability.
  • Build and maintain strong vendor and supplier relationships.
  • Train, mentor, and oversee parts counter staff, parts runners, or assigned parts support personnel.
  • Assign daily parts tasks and ensure staff follow proper parts procedures, safety expectations, and documentation requirements.
  • Monitor and manage parts spending according to company budgets and guidelines.
  • Review invoices, packing slips, and purchase orders for accuracy before submitting them to accounting.
  • Maintain accurate data within the company parts management, inventory, ERP, or fleet software system.
  • Occasionally pick up and deliver parts utilizing a company vehicle when authorized and qualified under company driving expectations.
  • Follow company policies, customer site requirements, branch procedures, and all applicable safety and environmental rules.
  • Support branch inventory cleanup projects, vendor reviews, warranty recovery projects, and parts process improvement initiatives.
  • Participate in branch meetings, safety discussions, parts leadership communication, training activities, and continuous improvement projects.
  • Assist with customer-facing parts support, emergency sourcing, or branch operational support as assigned.
Supervisory Responsibilities

This position may train, mentor, oversee, and assign daily work to parts counter staff, parts runners, or branch parts support personnel. Formal employment actions, compensation decisions, corrective action, and final performance management authority remain with management unless delegated in writing by CTTECH leadership.

  • Safety: Maintains clean, safe, and organized parts storage areas and reports hazards promptly.
  • Inventory Accuracy: Maintains accurate cycle counts, physical inventory support, receiving, stocking, and system data.
  • Shop Support: Provides quick and accurate parts support to technicians, service writers, foremen, and branch leadership.
  • Vendor Management: Builds supplier relationships and resolves backorders, damaged goods, incorrect shipments, and inventory discrepancies.
  • Cost Control: Supports parts spending discipline, invoice accuracy, PO review, warranty recovery, returns, cores, and credits.
  • Leadership: Trains, mentors, and guides parts support personnel professionally.
  • Teamwork: Communicates professionally with technicians, service writers, vendors, accounting, and branch leadership.
Skills & Abilities
  • Strong understanding of equipment, truck, trailer, automotive, heavy equipment, diesel, construction, or fleet maintenance parts.
  • Proficiency with inventory management systems, basic computer applications, Excel, email, ordering portals, ERP, or fleet management software.
  • Excellent communication, time management, organization, and problem-solving skills.
  • Ability to manage parts ordering, receiving, stocking, inventory accuracy, returns, warranties, cores, and credits.
  • Ability to train, mentor, assign work, and oversee parts support personnel or parts runners.
  • Ability to monitor parts spending, review invoices, verify POs, and support accounting accuracy.
  • Ability to work in a fast-paced environment while maintaining accuracy and attention to detail.
  • Ability to build relationships with vendors and suppliers and resolve shipment or inventory-related issues.
Education and Experience
  • High school diploma or equivalent required; technical or vocational training preferred.
  • Three or more years of experience in a parts department, warehouse, inventory, purchasing, shop, or related technical field required.
  • Valid driver’s license with a clean driving record required if assigned to pick up or deliver parts.
  • Ability to pass company-required pre-employment, safety, and site-access requirements.
  • Ability to work in warehouse, shop, and parts storage environments and comply with PPE and safety requirements.
  • Ability to lift up to 50 pounds and perform the physical requirements listed in this job description, with or without reasonable accommodation.
