Job summary

Reproductive Freedom for All in the DC metro area seeks a Senior Operations Manager to support the GC/COO by aligning infrastructure, compliance, and risk management with the organization's mission.

Responsibilities

  • Monitor vendors and consultants to ensure efficiency and effectiveness in collaboration with ECT and Strategy teams.
  • Create and maintain a system for GC/COO review of contracts ensuring legal compliance.
  • Support staff in utilizing the organization-wide procurement process, including RFPs and vendor evaluation rubrics.
  • Project manage state charitable registration to ensure compliance with state requirements.
  • Support risk management framework development and monitor identified risks, maintaining action timelines.
  • Coordinate security for events and arrange training for staff and volunteers as needed, coordinating with vendors.
  • Coordinate COIs for organization events in collaboration with staff and external partners.
  • Support organization-wide use of Monday.com for project management.
  • Create and update SOPs for legal, compliance, and infrastructure-support processes.
  • Assist in strategic labor relations discussions and long-term operations planning.
  • Track expenses against the Operations budget and support related reporting.
  • Perform additional duties as needed in line with duties and qualifications.

About the role:

The Senior Operations Manager will provide support to the General Counsel and Chief Operating Officer (GC/COO) in ensuring the operationalization of infrastructure matters are handled efficiently and with regard to legal compliance. The incumbent will work directly with the GC/COO to support the Organization’s risk management efforts and arrange for security at events when needed. This position will be responsible for tracking events for insurance purposes and coordinating insurance needs, including providing certificates of insurance (COIs) to staff when requested by venues, as well as ensuring compliance with state charitable registration requirements. This position will require project management for compliance, legal, and other matters, so it is essential that the incumbent have initiative, a strong system of organization, and a keen eye for detail. The successful candidate will have a track record of creating and implementing systems to build efficiencies and review processes with an eye toward improvement and development. Because the Operations function is an enterprise-wide function, this position requires strong interpersonal skills and an ability to support staff in being seen, heard, and have a sense of belonging. The incumbent will need to communicate effectively and work with collaboration and transparency. The Operations Manager will find success in this position through project management of operational matters, resulting in additional capacity for the GC/COO.

Salary Range: $75,000 -$125,000

Responsibilities:

  • In collaboration with the Executive Administrative Assistant in the Equity, Culture, and Talent (ECT) Department and the Managing Director in the Strategy Department, monitor the use of vendors and consultants to ensure efficiency and effectiveness;
  • Create and maintain a system for the GC/COO’s review of organization-wide contracts, ensuring legal compliance;
  • Support the GC/COO, as delegated, in providing support, assistance, and training to staff in utilizing the organization-wide procurement process, to include support in creating requests for proposals (RFPs) and vendor evaluation rubrics;
  • In collaboration with the Development Department and Finance Department, project manage the state charitable registration process to ensure 100% compliance with state requirements;
  • Support the GC/COO in implementing a risk management framework for the Organization, regularly monitoring identified risks, and supporting the GC/COO in maintaining a timeline for action as needed;
  • In collaboration with the GC/COO, ensure security needs for the President and CEO, as well as events for the Organization, are timely addressed. This includes arranging training for staff and volunteers as appropriate, responding to staff security requests, and coordinating with outside vendors and firms;
  • Coordinate the acquisition of certificates of insurance (COIs) for Organization events, as needed, working in collaboration with staff and outside vendors;
  • In collaboration with the Senior Director of IT and Operations, support the organization-wide use of Monday.com for project management;
  • Create, implement, and update standard operating procedures (SOPs) for legal, compliance, and other infrastructure-support processes;
  • Support the GC/COO and Senior Director of Talent in managing strategic labor management relations deliberations;
  • Partner with the GC/COO in developing systems for additional operations and infrastructure initiatives in actualizing the Board’s Strategic Plan;
  • Support the GC/COO in tracking expenses against the Operations budget;
  • Additional duties may be assigned consistent with the responsibilities and qualifications in this job description.

  • 5+ years of professional experience supporting infrastructure programs and executive operations, demonstrating a commitment to operational excellence, accountability, and high-quality support;
  • Proven ability and experience with managing projects;

  • Demonstrated ability to meet deadlines and handle multiple projects simultaneously;

  • Demonstrated ability to communicate effectively, both orally, in writing and through visual mediums;
  • Proficiency with Google Suite and project management tools like Monday.com

  • Keen attention to detail and accuracy in preparing written documents, to include compliance filings, reflecting precision, integrity, and a commitment to excellence;
