Job summary

Trace3, a leading IT solutions provider in Irvine, is seeking a Senior Talent Acquisition Coordinator to manage onboarding for full-time hires and contingent staff. You will coordinate pre-employment checks, system access, and onboarding forms, partnering with People, Talent Acquisition, IT, Payroll, and vendors to ensure a smooth Day 1 readiness process.

You will drive milestones, mitigate risks, and maintain compliant workforce records while supporting acquisitions and POH initiatives.

Qualifications

• Bachelor’s degree in HR or related field preferred.
• 3+ years in talent acquisition coordination, onboarding or HR ops.
• Experience onboarding fulltime and contingent workforce with background checks and documentation.
• Ability to identify, elevate and mitigate onboarding risks and delays.
• Experience with ATS/HRIS and onboarding tech; Beeline experience is a plus.
• Experience with Vendor Management Systems (VMS) like Beeline.
• Strong relationship management across HR, IT, Payroll, and Hiring Managers.
• Excellent communication and high confidentiality.
• Highly organized with strong time management in a fast-paced environment.

Responsibilities

• Own and coordinate onboarding lifecycle for new hires from offer to Day 1 readiness.
• Serve as primary contact for candidates, hires, and internal partners.
• Track pre-employment requirements and onboarding activities.
• Collaborate with TA, People Partners, Payroll, IT, and Hiring Managers to align tasks.
• Coordinate onboarding communications, schedules, and orientation logistics.
• Manage onboarding for contingent workers via Beeline and ensure compliance before start dates.
• Liaise with staffing agencies and vendor management teams for documentation and status updates.
• Monitor progress, identify risks, and escalate issues to stakeholders.
• Prepare reports and dashboards on onboarding activity and workforce readiness.
• Maintain confidential employee files and system data per policy.
• Support onboarding for acquisitions and integration activities.
• Assist with audits, data validation, and recruitment ops reporting.
• Identify process improvements to streamline onboarding.
