Job Overview:

VinMotion, a leading robotics and automation company, is seeking a highly organized and proactive Senior Office Management Specialist to join our U.S. team. This role will be responsible for overseeing office operations, supporting recruitment efforts, and ensuring legal compliance for our U.S. entity.

Key Responsibilities:

Office Administration:

  • Manage daily office operations and ensure a smooth and efficient work environment.
  • Coordinate with vendors, manage office supplies, and oversee facility-related services.
  • Organize internal meetings, team events, and employee engagement activities.

Recruitment & HR Support:

  • Collaborate with the global HR team to execute recruitment strategies in the U.S
  • Screen resumes, conduct initial interviews, and support onboarding processes.
  • Maintain employee records, track contracts, and assist with benefits administration.

Legal & Compliance Support:

  • Work with legal counsel to ensure compliance with federal and state regulations.
  • Prepare, review, and maintain legal documents, contracts, and business licenses.
  • Stay updated on labor laws and corporate compliance requirements in the U.S.

Qualifications:

  • Bachelor’s degree in Business Administration, Human Resources, Law, or related fields.
  • Minimum 3 years of experience in office management, HR, or legal support in the U.S.
  • Excellent communication skills in English. Proficiency in Vietnamese is required
  • Strong knowledge of U.S. labor laws and corporate compliance standards.
  • Excellent communication skills in English; Vietnamese language skills are a plus.
  • Strong organizational, time management, and problem-solving abilities.
  • Proficiency in office software (Google Workspace, Microsoft Office) and HR tools.
