Hively, a nonprofit focused on families and mental health in the Alameda County area, seeks a Sr. Specialist in Program & Operations Support for the Mental Health Department. You will handle foundational administrative functions, credentialing, EHR maintenance, client outreach, data entry, and SOP management.

Qualifications

• Minimum 3+ years of administrative or operational experience in healthcare or community organizations.
• Demonstrated independent judgment and proactive problem solving in staffing or workflow gaps.
• Highly proficient with Google Sheets/Excel for auditing and reporting.
• Strong knowledge of HIPAA, confidentiality and data security practices.
• Experience in medical or behavioral health environments preferred.
• Experience in workflow development and process improvement initiatives.
• Excellent attention to detail and data accuracy.

Responsibilities

• EHR and Records: prep intake files, archive records, manage closeout checklists.
• EHR support: admin-level power user for system maintenance and data integrity audits.
• Clinician coordination: track client statuses and calendar changes; optimize clinic spaces.
• Credentialing: manage Medi-Cal contracts and related credentialing workflows.
• Billing and intake cross-cover: data entry in Smart Care and scheduling during high volume.
• Referral support: ensure referrals are tracked and entered promptly.
• Lead tracking & outreach: follow up on mental health leads and appointment reminders.
• Dynamic priority management: adapt tasks to department needs and urgent requests.
• Eligibility support: follow up on missing information; verify eligibility in real time.
