With a focus on holistic Portfolio Management Services, Scribcor enables organizations across the nation and around the world to optimize their lease operations and drive business success.
The role
We’re hiring a Senior Lease Administrator to manage client portfolios and raise the bar on how our lease administration work gets done. This is a hands‑on role for someone who knows commercial leases cold and has a track record of making lease administration run better, not just keeping it running.
You’ll own day‑to‑day portfolio management for assigned clients, serve as a senior resource to other lease administrators, and lead the development and rollout of best practices that improve the quality and efficiency of our service delivery.
This position is fully remote. Candidates in the Mountain or Pacific time zones are preferred, as several of the portfolios you’d support are West Coast‑based, but we’ll consider strong candidates anywhere in the US.
What you’ll do
- Manage the full lease lifecycle for client portfolios: abstraction and setup of new leases, amendments, renewals, and terminations, with accountability for data accuracy and document integrity
- Administer monthly rent and recurring charges, review landlord invoices and pass‑through billings, and resolve discrepancies with landlords on clients’ behalf
- Review operating expense, CAM, tax, and insurance reconciliations, including base year, caps and stops, pro rata share, and gross‑up calculations; identify overcharges and recover client savings
- Track critical dates (options, co‑tenancy, kick‑outs, percentage rent thresholds, exclusives) and ensure clients are notified well ahead of deadlines
- Build and document standard operating procedures, QC checklists, and reporting templates; identify manual steps in current workflows and lead efforts to automate or streamline them
- Configure and optimize the client’s lease administration platform (fields, workflows, reports, integrations) to fit each portfolio’s reporting needs
- Serve as a senior point of contact for client lease administration, legal, and finance stakeholders, alongside the Account Manager
- Mentor and review the work of other lease administrators; support onboarding of new clients and portfolio migrations
What you bring
- 5+ years of commercial lease administration experience on the tenant side
- Strong working knowledge of CAM and operating expense provisions, reconciliation review, and audit rights
- Hands‑on experience as a daily user of at least one enterprise lease administration platform (Lucernex, CoStar, Visual Lease, Tango, ProLease, or similar), including abstraction, financial setup, and reporting
- A demonstrated record of developing best practices, writing procedures, and implementing process efficiencies, with examples you can speak to
- Advanced Excel skills; comfort with reporting and data clean‑up at portfolio scale
- Clear written and verbal communication, and the judgment to elevate the right issues at the right time
- Bachelor’s degree in business, finance, real estate, or a related field, or an equivalent combination of education and experience
Preferred, not required
- Located in the Mountain or Pacific time zone
- Experience supporting retail tenant portfolios (multi‑site, percentage rent, co‑tenancy, exclusives, and similar retail‑specific provisions)
- Lucernex experience, especially system configuration or implementation
- Experience in an outsourced or third‑party lease administration environment
- Lease accounting experience under ASC 842
- Familiarity with AI‑assisted abstraction or review tools
Why Scribcor
- Fully remote with a stable, tenured team of lease administration specialists
- Direct influence over how we work: your process improvements will be adopted across client portfolios
- Exposure to a range of clients, industries, and portfolio types
