Job description

  • Serve as the primary coordinator for Human Resources administrative operations for the Texas Institute for Electronics, including recruitment, hiring, onboarding and offboarding, affiliate management, and employee support services
  • Support hiring managers and HR staff throughout the full recruitment lifecycle for staff, faculty, research, technical, and administrative positions
  • Initiate and submit recruitment requests; manage access to candidate pools; disposition candidates; close recruitments; and collect recruitment-related documentation
  • Track recruitment activities and maintain accurate records for reporting and compliance
  • Serve as the primary point of contact for candidates throughout the interview and hiring process
  • Develop and maintain interview schedules and candidate itineraries; coordinate interview logistics for hiring teams across multiple locations as needed
  • Distribute candidate resumes, job descriptions, evaluation forms, and interview resources; track interview activities and documentation
  • Coordinate new hire onboarding, including offer letters, new hire requests, employee communications, access, and equipment requests
  • Track hiring activities and conduct initial welcome and orientation sessions
  • Manage onboarding and renewal processes for students, affiliates, contractors, temporary workers, and guests
  • Coordinate employee separation and offboarding, including data tracking, property collection, access removal, and employee communications
  • Schedule and support exit meetings and document feedback
  • Monitor and maintain the department’s shared Human Resources mailbox and other intake channels
  • Respond to simple to moderately complex HR inquiries via email, Teams, and in-person
  • Collaborate with HR Support Services and other University offices to complete TIE HR requests
  • Prepare correspondence, reports, records, forms, and other administrative documentation
  • Prepare and submit weekly staffing reports to TIE leadership
  • Maintain and distribute the TIE organizational chart using Visio
  • Track HR activities in Smartsheet, maintaining data integrity and audit-ready records
  • Prepare monthly HR staffing reports and materials for recurring meetings
  • Identify workflow improvements, standardize procedures, and support compliance
  • Provide backup support to administrative and HR team members, including working at other locations in town
  • Assist with TIE events and initiatives, including onboarding sessions, workshops, and employee engagement activities
  • Assist with special projects, operational initiatives, and other administrative duties as assigned
Requirements
  • High school graduation or equivalent
  • One or more years of progressively responsible administrative, human resources, talent acquisition, recruiting coordination, employee services, or closely related experience
  • Experience coordinating multiple projects, schedules, and competing priorities simultaneously
  • Experience delivering customer service and support to a diverse population of stakeholders
  • Proficiency using Microsoft Office applications, including Outlook, Word, Excel, and Teams
  • Excellent written, verbal, organizational, and interpersonal communication skills
  • Demonstrated attention to detail and ability to manage sensitive and confidential information appropriately
  • Ability to exercise sound judgment, maintain professionalism, and work independently while managing multiple deadlines
  • Ability to travel to and work at other locations in town when needed
  • Due to the nature of the work, you must qualify as a U.S. Person as defined in 22 CFR § 120
  • This job requires a class "C" operator's driver's license
  • The applicant selected must provide a current three-year driving record from the current state of residence
  • A Texas driver's license must be obtained within 30 days of becoming a Texas resident if not currently a Texas resident
  • A criminal history background check will be required for finalist(s)
  • If hired, you will be required to complete the federal Employment Eligibility Verification I-9 form and present acceptable and original documents to prove identity and authorization to work in the United States
  • Preferred: Bachelor’s degree in Human Resources, Business Administration, Communications, Higher Education Administration, or a related field
  • Preferred: Two or more years of experience supporting recruitment, candidate management, interview coordination, employee staffing, or other HR activities
  • Preferred: Experience working in the semiconductor industry or with technical/research organizations
  • Preferred: Experience working in Workday or a similar Human Resource Information System (HRIS)
  • Preferred: Experience using Visio and/or Smartsheet for documentation and tracking
  • Preferred: Experience working in a higher education, research, government, or other public‑sector environment
  • Preferred: Knowledge of University of Texas policies, procedures, and administrative systems
