Job summary

NASCAR is seeking a Senior Coordinator, Hospitality to craft premium guest experiences at flagship events. You will plan, execute, and refine hospitality programs for premium guests, partners, and fans, coordinating across departments and vendors.

Based in Daytona Beach, FL or Charlotte, NC, you will travel as needed to deliver world-class service and ensure flawless event execution for high-profile guests at NASCAR events.

Qualifications

• Minimum of 2–4 years of professional experience in event coordination, hospitality, guest services, or live event operations.
• Experience supporting premium hospitality or high-touch live events is preferred.
• Strong hospitality-first mindset and guest experience focus.
• Excellent written and verbal communication; able to work with executives, partners, and cross-functional teams.
• Ability to manage multiple priorities in a fast-paced environment and meet tight deadlines.
• Willingness to travel 50–60% including weekends and multi-day events.

Responsibilities

• Deliver exceptional hospitality experiences by anticipating guest needs and personalizing interactions.
• Plan and execute logistics for suite hospitality and consumer programs; serve as key contact during load-in, events, and load-out.
• Manage the premium guest journey from invitation to post-event follow-up.
• Oversee operational execution for hospitality areas, including setup, decor, catering coordination, and vendor activations.
• Coordinate with vendors, contractors, and agencies on deliverables and schedules.
• Own guest management processes: invitations, RSVP tracking, and on-site registration tools.
• Develop and distribute run-of-show schedules, credential lists, signage, and post-event docs.
• Manage hospitality budgets, forecast needs, reconcile invoices, and track inventory.
• Collaborate across Marketing, Partnerships, Creative, Production, Operations to align deliverables.
