An established industry player is seeking a dedicated Fleet Services Coordinator to enhance the efficiency of vehicle maintenance operations. This role involves organizing work order scheduling sessions, coordinating maintenance activities, and ensuring timely completion of repairs. JOB OBJECTIVE: To organize and conduct work order scheduling sessions with Departmental personnel to plan, prioritize, and schedule routine and non-routine corrective, preventative, and predictive maintenance activities in compliance with established Departmental policies and procedures to ensure the effective and efficient operations of the Department of Fleet Services.
Organizes and conducts work order scheduling sessions with Departmental personnel to plan, prioritize, and schedule routine and non-routine corrective, preventative, and predictive maintenance activities in compliance with established Departmental policies and procedures to ensure the effective and efficient operations of the Department of Fleet Services; releases work orders after shop capacity levels are determined.
Schedules and coordinates the preventative and repair maintenance activities of light, medium, heavy-weight, and specialized vehicles, including fire and landfill vehicles and related equipment, with the Department of Fleet Services, other City of Little Rock Departments, and outside vendors based on demand, workload, parts, and materials availability to ensure the effective and efficient operations of the Department of Fleet Services.
Coordinates with Fleet Service Center Supervisors to monitor the Fleet Management system to ensure work orders are completed in a timely manner; maintains equipment history to ensure accurate and up-to-date accountability of all equipment; reviews system reports; monitors and analyzes backlog and ensures all planned work is prioritized and methodology is in place to address backlogged work orders.
Coordinates with appropriate personnel to ensure an adequate amount of automotive parts are ordered and delivered to the appropriate shop in advance of scheduled preventative maintenance and corrective work orders; develops consumption models to improve inventory accuracy; ensures appropriate reserves are maintained for planned and unplanned maintenance work; reviews work orders to ensure that inventory was updated and removed from Fleet Management system daily to ensure that adequate inventory is on hand for upcoming maintenance and repair work; analyzes inventory levels and product demands to determine reorder levels to ensure product availability and minimize inventory costs.
Provides assistance to appropriate personnel in training Departmental personnel in the utilization of the Enterprise Asset Management (EAM) system.
Determines tentative preventative maintenance schedules for City vehicles based on specific criteria; modifies preventative maintenance schedules as needed; distributes schedule to appropriate department liaisons.
Determines preliminary diagnostic issues with vehicles and equipment based on descriptions provided by driver/operators; reviews vehicle checklists prepared by departmental liaisons to identify additional repair maintenance required; enters applicable work orders into Enterprise Asset Management (EAM) system based on checklist information.
Enters preliminary diagnostic work order information and notes into the Enterprise Asset Management (EAM) system based on inspection of unit and Automotive Technician findings; estimates repair completion times and parts required; monitors status of work orders and ensures deferred work orders are rescheduled as necessary.
Coordinates and schedules the repair and maintenance of vehicles and equipment with appropriate personnel based on demand, workload, parts, and material availability received from Fleet Service Center Supervisors and Fleet Procurement and Inventory Coordinators; modifies work priorities and adjustments as necessary.
Notifies Fleet Service Center Supervisors of unusual or reoccurring vehicle problems, equipment problems, and causes of job delays.
Answers questions and provides information regarding vehicle or equipment status; completion delays, and other information to the appropriate Department; consults with Automotive Technicians to determine the status of jobs in progress as necessary.
Schedules and coordinates the delivery and return of vehicles with contract service vendors; communicates with vendors regarding the status of vehicles.
Enters and verifies applicable warranty information in the Enterprise Asset Management (EAM) system; processes warranty claims and vendor warranty reimbursement requests for applicable City vehicles and equipment.
Assigns and dispatches service vehicles and appropriate personnel to repair and service-disabled units.
Establishes and maintains hard copy and computer files and records related to maintenance and repair schedules, work orders, vehicle records, and other related information.
Inspects vehicles to verify that equipment has been removed from vehicles to ensure vehicle is prepared for disposal; updates vehicle status in enterprise asset management system; completes applicable disposal forms.
Compiles and reviews data to compare actual repair time relative to job time standards; reports discrepancies to Fleet Service Center Supervisor.
Accepts and signs delivery documents for parts, materials, and assets for scheduled deliveries; enters receipt transactions for any asset or material received in delivery.
Operates a forklift to transport supplies.
Operates a computer utilizing database, spreadsheet, and word processing software in the performance of essential job functions.
Operates City vehicles in the performance of essential job functions.
SUPERVISORY RESPONSIBILITIES: None.
These knowledge, skills, and abilities are usually, although not always, acquired through completion of high school or vocational/technical school coursework in logistics, supply chain management, or related areas; and three (3) years’ experience in vehicle maintenance, repair work, or service advising, including two (2) years of demonstrated experience in implementing master production schedules, preferably in an automotive or transportation environment or related area, and one (1) year of computer experience. Equivalent combinations of education and experience will be considered.
ADDITIONAL REQUIREMENT:
Must possess a valid Arkansas Class D (Non-Commercial Vehicle) Driver’s License before employment and maintain licensure for the duration of employment in this position.
Must possess certification as a forklift operator within one (1) year of employment and maintain certification for the duration of employment in this position.
Must possess Automotive Service Excellence (ASE) Certification as an Automobile Service Consultant within one (1) year of employment and maintain certification for the duration of employment.
