We are seeking a highly organized and detail-oriented
Senior Fleet Risk Operations & Project Manager to support our consultancy team through expert-level project coordination, CRM system management, and billing operations. This role focuses on executing critical back-end functions that enable successful delivery of safety consulting services. The ideal candidate will thrive in a dynamic, fast-paced environment and bring strong capabilities in workflow management, CRM optimization (HubSpot preferred), client billing, and internal process improvement.
This position is instrumental in supporting both revenue growth and customer satisfaction by ensuring smooth operational execution behind the scenes.

Essential FunctionsProject Management & Operational Support- Manage and track safety consulting engagements and client deliverables from initiation to completion, ensuring all milestones and deadlines are met.
- Serve as the central liaison between consultants, clients, and internal stakeholders to coordinate resources and resolve workflow gaps.
- Maintain internal project dashboards and lead weekly status reviews with consultants and leadership.
Communications & Content Management- Draft and distribute internal and external communications including safety alerts, program updates, and newsletters.
- Help manage the Fleet Risk Services LinkedIn page and digital engagement tools.
Client & Vendor Coordination- Assist in managing third-party vendors, including CRM platforms, billing tools, and translation services.
- Provide logistical and administrative support for client-facing webinars, training sessions, and onboarding calls.
Data Analysis & Risk Reporting- Analyze fleet and safety data submitted by clients to prepare risk dashboards and loss prevention reports for consulting teams.
- Summarize key trends and insights for presentation to clients and internal stakeholders.
- Support DOT audit preparation and other data-driven projects as needed.
- Monitor service utilization against billing scope to identify upsell or renewal opportunities.
Billing & Revenue Operations- Create and maintain invoicing schedules for consulting clients; coordinate monthly and milestone-based billing in accordance with service agreements.
- Work closely with Finance to ensure accuracy in billing data, resolve discrepancies, and track collections.
CRM & Customer Lifecycle Management- Administer and optimize the HubSpot CRM to track leads, deals, customer communications, and service delivery progress.
- Automate key CRM workflows such as onboarding emails, follow-ups, document requests, and renewal notices.
- Ensure all customer interactions are documented and aligned with consultancy touchpoints.
Additional Responsibilities- Performs other duties as assigned.
Required Skills & Abilities- Strong project management and organizational skills
- Proficient in HubSpot CRM or similar platforms
- Experience with invoicing, billing systems, or accounts receivable coordination
- Excellent verbal and written communication skills (bilingual Spanish preferred)
- Ability to work independently in a fast-paced, remote-friendly environment
- High attention to detail, with ability to manage multiple projects simultaneously
- Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word) and Adobe Acrobat
Qualifications- Bachelor's degree required in Safety or Health or equivalent experience
- Two (2) years or more relevant experience in operations, project management, or consulting support
- HubSpot experience highly preferred
- Lean Six Sigma Green Belt or process improvement certification a plus
- Proven track record of supporting successful revenue-generating programs

The compensation offered to a candidate may be influenced by various factors, including experience, education, work location, market data, and internal policies. The position may be eligible for bonuses, commissions, or incentives. Compensation ranges are:
Pay Type: Salaried
Minimum Pay Range: $75,000
Maximum Pay Range: $80,000
