Job description

High-profile, Founding Partner of a red-hot venture firm is looking for a Senior Executive Assistant to join his office alongside two other EAs to support him holistically. You will serve as the Founder's strategic proxy, expertly threading the needle between his professional and personal commitments through effectively managing his day, drafting communications, delegating tasks, and project management. Beyond EA duties, you will provide high-touch travel planning for the executive and his family including 24/7, real-time support during trips. Previous experience supporting a UHNW individual or public facing Executive is a must. Preference for someone based in New York who will primarily work remotely, with required travel of ~2 trips/month. 180K+ DOE + bonus, carry component, 100% benefits include. dependents, personal development stipend, flexible PTO, and other great perks!
Responsibilities:
  • Act as a first point of contact and primary liaison for the Founder with internal and external stakeholders, building and maintaining relationships.
  • Manage calendars and schedules, aligning priorities and commitments, working alongside and delegating to a team of EAs to ensure the day-to-day is optimized for efficiency. Take ownership of scheduling logistics and work across time zones as necessary.
  • Triage a high volume of requests from internal and external stakeholders and ensure time is utilized and balanced against all priorities.
  • Participate in high-level meetings, offer insights, and follow up on action items to help drive initiatives and manage projects related to the fund and Founder's personal ventures.
  • Alongside the team of EAs, you will book complex travel and logistics for both business and personal, including researching and evaluating travel options, managing itineraries, and providing real-time support to ensure a smooth and efficient travel experience. Partner with family office and other personal stakeholders on domestic and international travel including working with private aircraft on relevant logistics and schedules.
  • Meeting and speaking engagement preparation to ensure the Founder is prepared and briefed ahead of time.
  • Provide on-site support to the Founder at events, conferences, and meetings, ensuring smooth execution, representing the executive professionally, and acting as a gatekeeper when needed.
  • Provide personal assistant support by partnering with the team of EAs and household staff to schedule, prep residences, plan travel logistics and activities, book personal appointments, wardrobe prep, gifting, and ad hoc projects.
  • Offer comprehensive support across both personal and professional responsibilities, ensuring seamless integration.
  • Assist with meeting support, expenses, CRM management, and other documentation and organization tasks.
  • Step into various tasks and responsibilities as needed, demonstrating flexibility and adaptability.
Qualifications:
  • Previous 5+ years of experience supporting high-level Executives or UHNWI in a fast-paced, dynamic environment.
  • Experience with private travel and supporting VIP guests is preferred.
  • Willingness to travel as needed, with flexibility to handle trips or on-the-go tasks.
  • Professional demeanor and comfort representing the executive in various settings.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage complex schedules and retain important details.
  • Proactive and resourceful, with the ability to take initiative and handle sensitive situations with discretion.
  • Strong knowledge of New York City, including traffic patterns, travel logistics, and the local restaurant and social scene.
  • Ability to adapt to changing priorities and maintain a high level of responsiveness, including during evenings and weekends.
