Summary of the Role: As a Senior Coordinator at our retirement plan administration firm, you will play a vital role in supporting the accurate and timely processing of participant and plan-level transactions. You’ll work closely with plan administrators, custodians, financial advisors, and clients to ensure compliance with IRS and DOL regulations while delivering exceptional service.

Essential Duties and Responsibilities:

  • Coordinate and process participant transactions including: Distributions (terminations, hardship withdrawals, RMDs), Loans (issuance, repayments, defaults), Rollovers and plan-to-plan transfers, Contributions and funding allocations.
  • Review transaction requests for completeness, accuracy, and compliance with plan documents and regulatory guidelines.
  • Communicate with clients, recordkeepers, and custodians to resolve transaction discrepancies or delays.
  • Track transaction timelines and follow up to ensure service level agreements (SLAs) are met.
  • Maintain accurate documentation and audit trails for all processed transactions.
  • Assist with plan onboarding and termination processes, including asset transfers and final distributions.
  • Support year-end compliance testing and Form 5500 preparation by ensuring transaction data integrity.
  • Identify process improvement opportunities and contribute to SOP development.

Knowledge, Skills, and/or Abilities:

  • Strong attention to detail and organizational skills.
  • Excellent communication and client service skills.
  • Proficiency in Microsoft Excel and experience with recordkeeping platforms (e.g., FT William, Ascensus, Vanguard, Empower) is a plus.

Education and/or Experience:

  • Associate’s or Bachelor’s degree in Business, Finance, Accounting, or related field preferred.
  • 2+ years of experience in retirement plan administration or financial services, preferably within a TPA environment.
  • Working knowledge of 401(k), 403(b), and other qualified retirement plans.
  • Familiarity with ERISA, IRS, and DOL regulations related to plan transactions.

The base salary range for this position is $50,000 to $55,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
