Job Summary

The Senior Coordinator, Executive Operations & Enterprise Strategy serves as the primary operational partner to the Senior Vice President of Enterprise Strategy, Marketing & Communications. This high‑impact role combines executive operations, enterprise strategy coordination, department administration, budget management, sponsorship activation, and project management to support the successful execution of the Foundation's highest‑priority initiatives.


Serving as the operational engine behind the Office of the Senior Vice President, this position creates executive capacity by proactively managing priorities, coordinating cross‑functional work, improving operational efficiency, and ensuring strategic initiatives move seamlessly from planning to execution.


Primary Responsibilities

Serve as an operational integrator across enterprise strategy, marketing, communications, brand experience, and executive priorities to ensure successful execution.


Executive Operations


  • Serve as the primary operational partner to the Senior Vice President, proactively managing priorities, schedules, travel, meetings, and executive engagements.

  • Optimize executive time by anticipating needs, coordinating priorities, and ensuring effective preparation and follow‐through.

  • Prepare executive correspondence, agendas, presentations, briefing materials, and meeting summaries.

  • Track executive commitments, action items, and key decisions to ensure accountability and timely execution.

  • Handle confidential information with the highest level of professionalism and discretion.


Enterprise Strategy Coordination


  • Coordinate enterprise strategic initiatives by managing project plans, timelines, dashboards, and accountability tools.

  • Facilitate cross‑functional meetings, planning sessions, and Leadership Team discussions.

  • Monitor milestones, dependencies, and deliverables, ensuring strategic priorities remain on schedule.

  • Prepare executive summaries, presentations, and strategic status reports.


Department Operations


  • Provide high‑level operational support to Marketing & Communications team, enhancing productivity and operational effectiveness.

  • Manage departmental operating budgets, invoices, contracts, purchase requests, expense reporting, and budget tracking.

  • Support Executive Office budget administration and maintain departmental records, dashboards, and operational systems as directed.

  • Develop and improve processes, templates, and workflows that increase organizational efficiency.


Sponsorship & Brand Experience


  • Manage the Foundation's sponsorship portfolio, including budgets, activation plans, contractual deliverables, and event coordination.

  • Ensure timely fulfillment of sponsorship benefits, including advertising, hospitality, tickets, exhibits, branding, and executive participation.

  • Partner with the Brand Experience team to coordinate Foundation participation at sponsored events.

  • Manage guest invitations, RSVP tracking, stakeholder communications, and post‑event follow‑up.

Requirements

Required Qualifications

Education


  • Bachelor's degree in Business Administration, Communications, Marketing, Public Administration, or a related field.


Experience


  • 8+ years of experience supporting senior executives, executive operations, project management, or organizational coordination.

  • Demonstrated success managing multiple complex projects in a fast‑paced environment.

  • Experience coordinating cross‑functional initiatives and working across a matrixed organization.

  • Experience managing departmental budgets, contracts, invoices, and administrative operations.


Technical Skills


  • Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word.

  • Experience with Canva and other project management or collaboration platforms preferred.


Preferred Qualifications


  • Experience supporting executive leadership within a nonprofit, philanthropic, corporate, or public sector organization.

  • Experience coordinating executive events, sponsorships, or community engagement activities.

  • Experience managing vendor relationships and departmental operations.


Work Environment

This position is primarily office‑based at the Cleveland Foundation's MidTown headquarters. Occasional evening and weekend hours are required to support executive meetings, Foundation events, and community engagements.
