Job summary

MyEyeDr. is seeking a Senior Coordinator, Doctor Concierge & Recruitment to guide newly hired doctors from offer to Day One and manage preboarding through credentialing and onboarding in a hybrid Raleigh, NC role.

You will coordinate cross-functional handoffs, maintain CRM/ATS data, and support recruiting events and reporting to strengthen the candidate experience and operational efficiency.

Qualifications

• Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, Communications, or related field preferred.
• 5+ years of experience in recruiting coordination, onboarding, Talent Acquisition, or healthcare operations.
• Strong organizational and project management skills with attention to detail and ability to work independently in a fast-paced environment.

About the role

The Senior Coordinator, Doctor Concierge & Recruitment plays a key role in creating a seamless transition for newly hired Doctors as they begin their careers with MyEyeDr. This role combines a high-touch candidate experience with recruiting operations support, helping ensure the preboarding journey is organized, connected, and reflective of MyEyeDr.’s culture.

The role works across Talent Acquisition and key business partners to bring together the people, information, and processes needed to support a successful transition from recruitment to employment. It also contributes to the effectiveness of the broader recruiting function through strong operational discipline, data management, reporting, event support, and continuous improvement. This role will report to the Sr. Director, Talent Acquisition – Optometry.

This is a hybrid remote role, offering a flexible work arrangement out of our Raleigh, NC office, with an in-office requirement of two days per week.

You Will

• Serve as the primary point of contact for newly hired Doctors from offer acceptance through Day One, providing proactive communication, guidance, and support while monitoring progress and resolving or escalating issues that could impact their start or experience.
• Coordinate the end-to-end Doctor preboarding process, including credentialing, background checks, HR onboarding, orientation, scheduling, training preparation, system access, required documentation, and other activities needed to ensure Doctors are prepared for Day One.
• Serve as a central liaison across Talent Acquisition, Credentialing, HR Shared Services, Workforce Optimization, Training & Implementation, Professional Services, Field Services, and clinical and practice leadership to facilitate timely handoffs and effective communication.
• Coordinate candidate hospitality and recruiting logistics, including interviews, travel, office visits, orientation activities, conferences, networking events, and related communications.
• Maintain accurate CRM/ATS data, candidate records, workflows, and status updates, and prepare reports and dashboards that provide visibility into recruiting activity, preboarding progress, timelines, and operational performance.
• Support recruiting conferences and events by managing calendars, budgets, inventories, lead tracking, follow-up, and pre- and post-event recruitment marketing activities; evaluate results to help inform future efforts.
• Develop and maintain SOPs, templates, checklists, and communication resources that support consistent recruiting and preboarding processes.
• Monitor process timelines, service levels, and trends to identify opportunities to improve efficiency, standardize processes, and enhance the Doctor and internal partner experience.
• Partner with internal teams to ensure Doctors have the information, resources, training, and support needed for a successful transition into practice.

About You

• Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, Communications, or a related field, or an equivalent combination of education and experience preferred.
• 5+ years of experience in recruiting coordination, onboarding, Talent Acquisition, customer success, project coordination, healthcare operations, or a related field, with experience managing multiple projects, timelines, and priorities simultaneously.
• Strong organizational and project management skills with exceptional attention to detail and the ability to work independently in a fast-paced environment.
• Excellent written and verbal communication skills with the ability to build relationships across all levels of an organization and influence without direct authority.
• Strong customer service mindset with a passion for creating exceptional candidate and employee experiences.
• Strong analytical, problem-solving, and process improvement skills, with the ability to anticipate issues and proactively identify solutions.
• Experience coordinating cross-functional teams and partnering effectively across functions; ability to handle confidential information with professionalism and discretion.
• Proficiency with applicant tracking systems (Jobvite preferred), Microsoft Office, Smartsheet, and collaboration tools such as Microsoft Teams.
• Experience supporting physician/provider or healthcare recruiting preferred, with knowledge of healthcare credentialing, employment documentation, or provider onboarding processes a plus.
