Job summary

WestCoast Children’s Clinic, located in Oakland, California, is a non-profit community psychology clinic that provides mental health services to Bay Area children, youth and families. The Senior Contract and Grants Accountant reports to the CFO and leads grant reporting, budgeting, and financial analysis for Federal, State, and County contracts.

Qualifications

  • Bachelor’s degree in Accounting or Finance required.
  • At least two years of accounting experience, preferably with non-profits or healthcare clinics.
  • Knowledge of GAAP/FASB and ability to perform full accounting cycle.

Responsibilities

  • Prepare revenue projections and forecast expenditures for reimbursable grants and contracts.
  • Assist with grant budgets and program financial statements.
  • Prepare financial analyses on grant reports and general ledger reconciliations.
  • Reconcile and perform grant closeout functions required by contracts administration and sponsors.
  • Maintain knowledge on funding sources, grants and contracts and ensure best practices.
  • Assist and participate in pre- and post-award grant processes.
  • Review transactions for compliance with grant/contract terms and internal policies.
  • Assist managers with budgets and budget vs. actual analyses.
  • Explain variances to program personnel and ensure understanding.
  • Familiarize with grant reporting and compliance regulations.
  • Perform other duties as assigned.

Position Details

Title: Senior Contract and Grants Accountant

Classification: Regular Full-Time (1.0 FTE), Exempt

Location: Oakland, CA

Regular Work Schedule: Full-Time, Monday-Friday

Compensation:

  • Salary range: $95,000-$105,000 per year, depending on experience.

The Senior Contract and Grants Accountant demonstrates flawless attention to detail and ability to consistently generate a high-quality work product within the Finance Department. Reporting to the CFO, the Senior Contract and Grants Accountant’s responsibilities will include reporting and accounting for grants and Federal, State and County reimbursable contracts. The preferred candidate possesses experience with State and local funding and working closely with the CFO and Budget Manager who will provide the information requirements related to grants. They must also have a level of comfort in providing technical and analytical support in the preparation of the organization’s annual operating budget including providing technical training to Programs.

Key Responsibilities:
  • Prepare revenue projections and forecast of expenditures for reimbursable grants and contracts.
  • Assist with preparing and monitoring grant budgets and program financial statements.
  • Prepare financial analyses on grant reports and general ledger account reconciliations.
  • Reconcile and perform grant closeout functions required by contracts administration and sponsors.
  • Maintain up-to-date knowledge on the organization's funding sources, grants and contracts, ensure implementation of best practices.
  • Assist and participate in all pre- and post-award grant processes.
  • Review transactions for compliance with applicable grant and contract terms internal policies and procedures.
  • Assist department managers with their budgets and maintenance of budget versus actuals.
  • Provide explanations and recommendations for variances from budget and discuss with program personnel to ensure their knowledge and understanding.
  • Become familiar with grant and contracts reporting and compliance regulations and requirements.
  • Perform other duties as assigned.
Minimum Qualifications:
  • Education: Bachelor’s degree in Accounting or Finance required.
  • Experience: At least two (2) years of accounting experience, preferably working with non-profits or healthcare clinics.
Key Competencies:
  • Thorough knowledge of all aspects of the accounting cycle and accounting rules (GAAP/FASB).
  • Strong understanding of general ledger, accounts payable, accounts receivable, billing and payroll systems.
  • Demonstrates strong analytical skills with experience in financial and variance analysis.
  • Strong communication skills, both written and verbal.
  • Strong organizational and stress management skills.
  • Experience with computerized accounting ledger systems, preferably Abila MIP.
  • Experience with ADP payroll systems.
  • Experience with G-Suite Applications.
  • Experience with Microsoft Office products, especially Excel worksheets, including advanced applications.
  • Ability to prioritize and work accurately with close attention to detail, strong time management skills and an ability to work within defined deadlines.
  • Able to work independently and collaboratively as part of a diverse multidisciplinary team.
  • Ability to work in-person at our Oakland, CA office/hybrid after initial 90-day probationary period (relocation assistance not provided)
