The Senior Clinical Administrative Coordinator provides essential administrative and operational support to the Behavioral Health Services Team (BHST), primarily based at the Community Transition Center. This role ensures the accuracy and integrity of behavioral health and probation records, supports data entry and reporting functions, and maintains compliance with documentation standards. Serving as a key liaison between providers, clients, and partner agencies, the coordinator facilitates communication, manages clinical files, and supports daily operations to enhance service delivery and client care.

This position is full-time (40 hours/week) Monday - Friday. Employees are required to work an 8-hour shift schedule during our normal business hours of 8:00am - 5:00pm PST. It may be necessary, given the business need, to work occasional overtime and weekends.

We offer paid on-the-job training. The hours during training will be 8:00am to 5:00pm PST, Monday - Friday.

Primary Responsibilities:

• Audit data entry and ensure quality assurance for behavioral health and probation electronic records, maintaining data integrity for screened clients.
• Create, maintain, audit, and purge clinical files across multiple BHST locations in compliance with documentation standards.
• Review clinical documentation for technical completeness and regulatory compliance.
• Coordinate requests and secure delivery of behavioral health records from the California Department of Corrections and Rehabilitation (CDCR).
• Access and utilize CDCR electronic systems, including the Benefit Application Support System (BASS) and Secure File Transfer Portal (SFTP).
• Identify and report process or equipment issues; support the Program Manager in implementing improvements and operational enhancements.
• Record and maintain accurate meeting minutes to ensure proper documentation and follow-up actions.
• Provide scheduling support and coverage to maintain smooth BHST operations.
• Assist BHST leadership with hiring coordination, including interview scheduling and onboarding logistics.
• Support client screenings and check-ins to facilitate timely access to services.
• Collaborate with leadership to ensure data accuracy and effective data organization.
• Respond to incoming calls promptly and professionally, offering information and assistance to clients and visitors.
• Coordinate with Probation, Community Treatment Partners, Behavioral Health Services, and Optum to manage incoming service requests.
• Maintain access to County Electronic Health Records (EHR) and the Probation Case Management System, handling Protected Health Information (PHI) in compliance with regulations.
• Adhere to HIPAA regulations and all applicable Privacy and security standards.
• Perform additional duties as assigned to support the mission and operations of the BHST.

Part of the challenge here is dealing positively with members and providers in sometimes challenging circumstances. As a subject matter expert, you'll also be the 'go-to' resource for information. The flexibility to work evening hours will also be required.

Required Qualifications:

• High School Diploma / GED and/or equivalent work experience
• Must be 18 years of age OR older
• 2+ years of Administrative/clerical and/ or customer service experience using phones and computers as primary job tools
• Experience with computers and Windows PC applications, which includes the ability to navigate and learn new and complex computer system applications
• Intermediate knowledge of Microsoft Excel (ability to sort, knowledge of basic formulas & graphs), Power Point and OneNote
• Ability to travel up to 25% of the time to other regional offices within San Diego, CA as needed
• Must have reliable transportation and a valid driver's license
• Reside within commutable distance of 3880 Rosecrans St San Diego, CA 92110
• Ability to work full-time, Monday - Friday between 8:00am - 5:00pm PST including the flexibility to work occasional overtime given the business need and weekends

The hourly pay for this role will range from $20 - $36 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
