Position Title:
Senior Clinic Office Manager - Thoracic Clinic - Stephenson Cancer Center
Department:
OUHP SCC Lung/Ortho/Sarcoma
Job Description:

The T.O.E.S. (Thoracic, Ortho, Esophageal, Sarcoma) Clinic is an outpatient facility at the Stephenson Cancer Center with 13 providers, servicing roughly 40 patients daily with Thoracic/Ortho-related cancer diagnoses. This is a fast-paced, collaborative environment that requires excellent communication skills, the ability to multitask, and a willingness to learn.

Full-Time (40 hours/week) Monday-Friday 8a-5p
General Description:

Oversees the daily operation of a clinic.

Essential Responsibilities:
  1. Personnel Supervision: Supervises clinic staff, issues first and second level warnings, conducts performance appraisals, and handles personnel issues. Coordinates time reports and leave requests. Completes all new hire paperwork, schedules training, and ensures staff are well-equipped to perform their duties.
  2. Budget Assistance: Assists the Clinic Administrator in preparing the budget. Monitors spending to ensure it remains within acceptable levels.
  3. Complaint Management: Manages complaints from patients, staff, physicians, etc. Works with physicians and the Clinic Administrator to address and resolve complaints, reviewing and investigating all in the complaint tracking system.
  4. Accounts Payable: Codes invoices, maintains copies, and provides invoice information. Maintains basic knowledge of CPT and ICD-9 coding.
  5. Billing Assistance: Helps the Billing Manager resolve billing issues, reviews billing procedures for errors, and ensures accurate and timely processing of patient billing and records.
  6. Supply Maintenance: Orders and tracks clinic supplies.
  7. Report Preparation: Runs queries and prepares monthly reports on write-offs, charges, and collections.
  8. Clinic Assistance: Supports clinic operations by scheduling, managing referrals and authorizations, patient check-in/out, and completing lab and x-ray requisitions.
General Responsibilities:
  • Performs other duties as assigned.
Minimum Requirements:

Education: Bachelor's degree required, preferably in Accounting, Business Administration, Healthcare Administration, or related field.

Experience: 3-5 years of progressive leadership experience in a clinical setting.

Licensure/Certifications/Registrations: None required.

Knowledge, Skills & Abilities:
  • Advanced knowledge of management, organizational processes, and healthcare policy.
  • Strong understanding of Medicaid, Medicare, and applicable federal and state laws.
  • Ability to plan, organize, direct, and schedule clinic staff.
  • Ability to train and mentor staff.
  • Excellent verbal and written communication skills.
  • Supervisory, training, and staff evaluation skills.
  • Ability to identify and recommend improvements to patient care and clinic processes.
