A SeniorClient Service Associate (SCSA) plays a critical role in supporting financial advisors by delivering exceptional client service, managing complex administrative tasks, and ensuring operational excellence across the team. SCSAs serve as subject matter experts and mentors to Client Service Associates, and lead project work. This position is ideal for a detail-oriented, client-focused professional who thrives in a fast-paced financial services environment and is ready to take on leadership responsibilities.

As a Senior Client Service Associate, you will:
Client Relationship Management:
  • Serve as the primary point of contact for clients regarding account inquiries, service requests, account maintenance, and administrative needs.
  • Maintain and update client records in Salesforce with a high level of accuracy and completeness.
  • Schedule and confirm client meetings, prepare meeting materials, and ensure timely follow-up on action items.
  • Enter meeting notes and perform account maintenance tasks in Salesforce to support advisor-client engagement.
Operational Support:
  • Process complex account openings, transfers, and maintenance requests with precision.
  • Assist with money movements, including wires, ACH transfers, and check requests, ensuring compliance and timeliness.
  • Ensure adherence to firm policies and regulatory requirements, acting as a compliance resource for the team.
  • Prepare advanced reports, presentations, and documentation to support client reviews and financial planning.
  • Coordinate with internal departments (e.g., compliance, operations, trading) to resolve escalated issues.
  • Monitor and track client service activities to ensure timely and accurate completion.
  • Interface with custodians to open new accounts, update account information, and perform routine and specialized tasks.
Administrative Duties:
  • Manage advisor(s) calendars and schedule meetings with clients and internal stakeholders.
  • Handle incoming calls, emails, and correspondence professionally and promptly.
  • Process and submit paperwork, checks, and securities in a timely manner, ensuring completion and accuracy.
Leadership and Mentorship:
  • Mentor and train Client Service Associates, providing guidance and support to enhance team performance.
  • Serve as a subject matter expert for project work and operational initiatives.
General:
  • Attend department meetings and stay current on knowledge of Wealth Management policies, procedures, products, etc. in an ever-changing regulatory environment.
  • Maintain internal client file integrity.
  • Uphold Nicolet’s philosophy and policies by maintaining appropriate controls to ensure full compliance with applicable laws and regulations, thereby fulfilling legal responsibilities and enhancing the quality of Nicolet.

Qualifications:

  • Successful completion of the Securities Industry Essentials (SIE) exam.
  • Proficiency with Microsoft Office Suite and CRM platform (Salesforce).
  • Effective verbal and written communication skills and strong interpersonal skills.

  • Ability to multi-task and prioritize work effectively.
