Job summary

Hightower Advisors in Chicago seeks a Senior Billing Analyst to manage onboarding and termination of advisory fee accounts, report to the Manager, and collaborate across departments to strengthen billing processes and controls.

You will support ongoing reporting, integration efforts, and audits while helping manage risk and ensure accurate fee calculations for clients. This role requires strong analytical and communication skills.

Qualifications

  • Bachelor's degree in Finance, Accounting, Business Administration, or related field.
  • 5+ years of experience as a Billing Analyst or similar role.
  • Financial services industry and RIA experience preferred.
  • Strong understanding of billing principles and financial analysis.
  • Proficiency in Envestnet Wealth Management software and Black Diamond.
  • Proficiency in Microsoft Excel, including pivot tables and v-lookup.
  • Exceptional attention to detail and accuracy in data reporting.
  • Effective communication and collaboration with diverse teams.

  • Compile quarterly termination analyses and prepare documentation for refunds.
  • Collaborate with advisor teams to align on termination processes.
  • Process account terminations and calculate fees/refunds accurately.
  • Run billing test runs and set up onboarding fee attributes.

Your Future Team

As a Senior Billing Analyst, you will assist with the accurate onboarding and termination of accounts related to advisory fee billing. You will report to the Manager, while also working with two analysts. You will help implement processes and protocol, while working with other departments, and to accomplish the team's goals. Together, this team will support ongoing reporting & analysis, account terminations, and integration activities. This team will also help manage risk, integrate new advisor teams, enhance financial controls, and contribute to the achievement of the organization.

What You'll Do
  • Compile quarterly termination analyses to identify and remediate accounts eligible for refunds. Communicate findings to advisor teams and prepare supporting documentation for final assessments.
  • Collaborate with advisor teams to ensure agreement and support across the termination process.
  • Help process account terminations, ensuring precise and timely calculations and processing of fees and refunds for clients.
  • Perform billing test runs and conduct detailed analyses for onboarding advisory businesses, ensuring accurate establishment of fee attributes and proper system setup
  • Respond to advisor team inquiries regarding billing and provide timely resolution.
  • Maintain accurate and organized integration and billing onboarding/termination records, supporting documentation, and audit trails to facilitate internal and external audits.
  • Support project-based projects by ensuring data integrity and accuracy throughout all phases of the project.
  • Foster a collaborative and inclusive work environment that encourages teamwork, accountability, and new ideas.
  • Assist in governing, adhering, and reporting on internal controls and procedures to maintain regulatory standards, ensure compliance, enhance efficiency, and reduce errors. Track and support remediation.
What You'll Bring
  • Bachelor's degree in Finance, Accounting, Business Administration, or related field
  • 5+ years of experience as a Billing Analyst or similar role
  • Financial services industry and RIA experience preferred
  • Strong understanding of billing principles, financial analysis, and relevant software applications
  • Proficiency in billing operations and related accounting systems (e.g. Envestnet Wealth Management software, Black Diamond)
  • Exceptional attention to detail and accuracy in data reporting, data analysis and reporting
  • High level of proficiency in Microsoft suite, including Excel (pivot tables, v-lookup), Word, Outlook
  • Effective communication and interpersonal skills to collaborate with diverse teams and work with clients professionally
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment
