Job Description

The Senior Associate Administrative Services will provide comprehensive administrative support and office management for Patient Insights & Engagement and Global Medical Proficiency & External Affairs within Global Medical and Value Capabilities.

The incumbent is responsible for exercising professional judgment in managing the office, with a strong focus on the awareness of the confidential nature of the information flowing in and out of the office; managing the calendar by arranging meetings and logistics, including accurate domestic and international travel support; managing all communications and office record retention; directing a high volume of inquiries and matters to the appropriate parties within the Company; and generating correspondence.

Being a self-starter who can proactively manage priorities and independently resolve scheduling conflicts is a key dimension of the position. To execute these responsibilities, the incumbent will partner with many internal and external global stakeholders, including various areas of the company, including the ability to integrate effectively and quickly with the other members of Support Staff. The ability to adjust to constant/changing situations and the ability to manage relationships with others are essential.

The primary activities include and are not limited to the following:

  • General Secretarial/administrative duties

  • Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.

  • Work priorities and activities are reviewed with little supervision.

  • Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity, and problem-solving skills.

  • Coordinate meetings, teleconferences/MS Teams meetings, and offsite meetings/events

  • Supports the use of Team Sites

  • Communication skills should be at a level to effectively interact with Our Company executives and internal/external clients both on-site and remotely to maintain workflow.

  • May coordinate special projects within the division/area.

Minimum required education :

  • Required: High School Diploma or equivalent (GED)

  • Preferred: Advanced education or certifications such as (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

Required Experience and Skills:

  • Minimum of (8) years Administrative Assistant experience

  • Minimum of (3) years Executive administrative experience supporting senior executives (Sr. Director, Executive Director, AVP or above)

  • Advanced computer skills using Microsoft Office suite (MS Outlook, Word, Excel, Power Point) and operation of other internal systems.

  • SAP / CONCUR experience processing: Expense Reports, Purchase Orders, Payment Requests, Vendor Add Forms, as well as the capability to run reports within SAP

  • Experience scheduling complex travel arrangements including multi-leg domestic and international travel

  • Experience with financial and budget tasks

  • Demonstrated experience with processing of Visas/Passports.

  • Advanced secretarial/clerical abilities with a history of high performance.

  • Documented experience as a strong performer in current and past positions.

  • Ability to handle and prioritize a large number of simultaneous assignments.

  • Extraordinary attention to detail

  • Outstanding communication and people skills

  • Strong organizational project management and problem-solving skills

  • Experience with event planning and coordination

  • Demonstrated interest in and willingness to leverage AI-powered tools and emerging technologies to enhance productivity, streamline administrative processes, and support continuous improvement initiatives

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s position within the salary range will be based on several factors including, but not limited to relevant education, qualifications, certifications, experience, skills, geographic location, government requirements, and business or organizational needs.

The successful candidate will be eligible for annual bonus and long-term incentive, if applicable.
