Senior Assistant Property Manager (CRE)

Job Description Summary

Under the supervision of the Property Manager, the Senior Assistant Property Manager assists in all areas defined as part of the Property Manager role. This management position involves supervising staff, operations, and coordinating functions to ensure client facilities generate satisfactory cash flow, are maintained per standards, and achieve customer satisfaction.

Job Responsibilities
  1. Manage building staff in the absence of the Property or General Manager, including all managerial functions as per their job descriptions or as directed.
  2. Handle correspondence with clients, tenants, and vendors under the guidance of the Property or General Manager.
  3. Maintain orderly property files, including leases and contracts.
  4. Obtain and follow up on aging reports and delinquencies per policies.
  5. Process invoices with proper backup according to procedures.
  6. Prepare lease abstracts and monthly rent rolls for management review.
  7. Coordinate tenant move-ins, move-outs, and related activities.
  8. Manage tenant requests for above-standard work, including obtaining estimates and invoicing tenants.
  9. Oversee maintenance of work order and purchase order systems.
  10. Develop and maintain tenant service programs and ensure tenant information is current.
  11. Update office procedures in the Operations Manual.
  12. Ensure Certificates of Insurance are current for tenants and vendors.
  13. Oversee processing of staff hours, expense reports, and check requests.
  14. Manage billing processes for utility and other charges.
  15. Assist in budget preparation, CAM reconciliations, financial reports, and bank deposits.
  16. Conduct regular property inspections with service providers.
  17. Oversee performance of contractors and service providers.
  18. Supervise tenant improvement projects.

Qualifications

Education: Bachelor's Degree in Business

Experience: 2+ years in real estate property management or related field

Additional Qualifications: Active Real Estate license in the state of employment or RPA/CPM designation; basic computer and building systems knowledge; understanding of reconciliation processes; ability to manage tasks and staff.

Work Environment & Physical Demands

This role operates in a professional office setting, requiring travel between properties and physical activities like climbing stairs and operating office equipment.
