Job description

The Senior Analyst, HR Operations is a core member of the HR Operations team and reports to the Head of HR Operations. The role owns global payroll execution, benefits administration, HRIS data integrity, and the transaction processing that supports every stage of the employee lifecycle.

VanEck runs payroll across eleven countries and multiple legal entities on a fast cycle, and the output of this team is visible to every employee and to the leaders who rely on people data to run their businesses. Accuracy here is not a back-office detail. It is how employees experience the firm and how leaders make decisions.

The person in this seat works directly with employees, managers, Finance, external payroll providers, and brokers. HR Operations is being built out as a distinct function, so the role carries real ownership from the start and room to take on more as the function grows.

Key Responsibilities

HRIS and Data Management
  • Serve as a primary administrator for UKG, maintaining accurate records for new hires, terminations, compensation changes, transfers, promotions, and personal data updates.
  • Build and maintain standard and ad hoc reports for HR, Finance, and business leaders.
  • Serve as the primary administrator for UKG Workforce Management, owning Time and Attendance configuration, employee profile updates, and the buildout of additional plans and policies as the function grows.
  • Support UKG module implementation, configuration, testing, data validation, and ongoing system maintenance.
  • Run periodic data audits, identify quality issues, and correct the underlying cause rather than the individual record.
  • Maintain system documentation, workflows, and user permissions in coordination with the Head of HR Operations.
Employee Lifecycle and HR Operations
  • Execute onboarding and offboarding transactions and coordinate with IT, Finance, and hiring managers so that start and end dates run cleanly.
  • Prepare employment verifications, immigration support documentation, and other employee letters.
  • Track leaves of absence and coordinate across carriers, managers, and payroll.
  • Maintain confidential employee files consistent with company policy and applicable recordkeeping requirements.
  • Draft and maintain HR and payroll procedure documentation, and recommend improvements where manual steps can be removed.
  • Support HR policy updates, handbook maintenance, and compliance reporting.
  • Provide project support across HR initiatives, including systems work, compensation cycles, and performance processes.
  • Serve as the first point of contact for employee Time and Attendance questions, resolving issues accurately and escalating to the appropriate stakeholder when needed.
Global Payroll
  • Process semi-monthly US multi-state payroll for approximately 350 employees in UKG Pro.
  • Process monthly international payroll for approximately 150 employees through ADP Streamline across Canada, Germany, India, Italy, the Netherlands, Singapore, Spain, Switzerland, and the United Kingdom.
  • Review payroll registers, variance reports, and funding files, and resolve discrepancies before each cycle is finalized.
  • Own payroll reconciliations, quarterly and year-end filings, W-2 and international equivalents, and supporting audit documentation.
  • Partner with Finance on general ledger mapping, funding, and accrual questions.
  • Serve as the first point of contact for employee payroll questions and resolve them with accuracy and discretion.
  • Maintain payroll calendars, controls, and written procedures across all entities, and confirm compliance with applicable national and local rules.
Benefits Administration
  • Administer day-to-day benefits activity, including enrollments, qualifying life events, terminations, and carrier eligibility feeds.
  • Reconcile monthly carrier invoices and resolve discrepancies with brokers and providers.
  • Support annual open enrollment through system configuration testing, employee data validation, communications, and post-enrollment audits.
  • Answer employee benefits questions directly and elevate complex matters to the Head of HR Operations, the broker, or the provider.
  • Support 401(k) administration, including contribution funding, census preparation, and annual audit support.
  • Maintain benefits documentation and confirm that employee changes are reflected accurately in UKG and in all provider systems.

  • International or multi-entity payroll exposure, particularly through ADP Streamline or a comparable aggregator.
  • Benefits administration experience, including carrier feeds, invoice reconciliation, and open enrollment.
  • Experience supporting an HRIS implementation, module rollout, or system migration.
  • Background in financial services or another regulated industry.
  • Interest in automation and process design, including the use of AI tools, reporting, and workflow automation to reduce manual work and improve process efficiency.
