Position Summary
The Student Health Center (SHC) at Seattle University has an outstanding opportunity for a Senior Administrative Assistant. Reporting to the Senior Associate Director of the Student Health Center, the Senior Administrative Assistant provides a wide range of administrative services while coordinating and facilitating the smooth and efficient flow of patients through the Student Health Center. This position serves as the first point of contact for patients and parents/families, requiring an awareness of the psychosocial needs of a patients in a higher education setting. As such, the Senior Administrative Assistant must have the knowledge and skills to provide holistic support and accurate information for patients and their parents/families while balancing a diverse portfolio of tasks and responsibilities.
Essential Functions
Patient Support Services (70%):
- Manage patient schedules in electronic health records system (Medicat), including scheduling appointments with necessary patient instructions, canceling appointments, and managing check in/check out procedures.
- Serve as the primary point of contact at the reception desk for patients, parents/families, faculty, and staff.
- Receive and respond to phone calls, voicemails, emails, faxes and other communications in a timely manner.
- Route messages and information to providers.
- Prepare the clinic for patients by performing daily clinic opening and closing tasks.
- Provide timely and accurate information about the Student Health Center and other campus services to patients, parents/families, faculty, staff, and others.
Office Administration (20%)
- Maintain knowledge about the most current information about the immunization policy, release of records, and student health insurance plan and waiver policy.
- Receive, distribute, and manage postal mail and package deliveries.
- Maintain updated training on the electronic health records system (Medicat), including the patient management module, immunization compliance management module, and portions of visit charting module (preferred name, patient summary, all notes, tasks, progress notes, phone messages, scanning records).
- Manage cash and card payments and process end-of-day reconciliation and deposits.
- Monitor, order, and maintain office supplies.
- Manage records, including records releases, referrals and scanning documents into the electronic health records system (Medicat).
- Place maintenance work orders and coordinate repair work with Facilities Services.
- Assist with immunization policy compliance at the direction of supervisor.
- Update and maintain the Student Health Center website and intranet pages.
- Communicate regularly with clinic administration and actively participate in team meetings.
Other Duties (10%)
- Serve on Student & Campus Life and broader university committees and working groups as assigned.
- Attend staff meetings, quarterly in services, retreats, and other training as directed.
- Attend high profile programs and events on both campuses as directed and maintain a high level of visibility.
- Other duties as assigned.
Qualifications
- High School diploma or equivalent (GED) and 2 or more years of administrative office support experience, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
- Computer skills including Microsoft Word, Excel, Outlook, and PowerPoint
- Ability to multitask and maintain composure during stressful situations. Must be able to prioritize activities and accomplish multiple tasks in a fast-paced work environment.
- This position requires a criminal history background check.
Preferred Qualifications
- Associates degree and three (3) or more years of administrative support experience, preferably in a healthcare setting.
- Experience with electronic health records management, web content management, data entry, cash management, and report generation.
Physical Requirements
- Occasionally lift, push, pull and/or move up to 20 pounds.
- Repetitive motion of upper body required for extended use of computer.

Compensation At a Glance
Salary Range: $24.00 - $25.64
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate’s gender or any other protected status.

Hybrid Eligible
This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training. Flexible work plans are subject to periodic review and may be changed or terminated at any time for any reason at the university’s discretion.
