Position Summary:

Primarily assisting the Senior Vice President, Vice President, and Director of Leasing in all aspects of their responsibilities. Work with the administrative support team to maximize effectiveness within the Leasing Department. Interface with the executive team, tenants, customers, clients, and internal departments with the utmost accuracy and professionalism.

Job Duties:

  • Provides administrative support to SVP, VP, and Leasing Directors
  • Calendar management of SVP and VPs
  • Assists with Executive Business Meeting materials
  • Prepares Pre-Lease documents and inputs proposed leasing deal terms into Salesforce.
  • Answers/screen calls, arrange meetings, maintain calendars, and book travel as needed
  • Prepares and processes expense reports, Real Estate Committee documents, Broker’s Commission Agreements, and invoices
  • Prepare, research, and assist with presentation materials i.e. LOIs (letters of intent), Agendas, Reports
  • Maintain project files and orders office supplies and equipment; maintains Real Estate Licenses for the Division
  • Assists with the Leasing Hotline/Lead calls, and emails
  • Attends ICSC conferences. Assists with planning and meeting support

Minimum Qualifications / Other Expectations:

Education & Experience

  • 5+ years experience in a senior administrative role, preferably in Real Estate. General knowledge of retail real estate is preferred.

Others

  • Maintain confidential information.
  • Detail-oriented, organized, and managing multiple tasks concurrently.
  • Demonstrate initiative and proficiency with computer programs, Google, Word, Excel, Illustrator, Adobe and Salesforce a plus.
  • Excellent proofreading skills.
  • Travel to Las Vegas and New York for the ICSC conferences.

Compensation:

Base Pay Range: $32.98 - $43.03
